Assistant to the Director of Sales

The Liberty Warehouse is seeking a highly organized, detail-oriented Assistant to the Director of Sales to support our busy events and hospitality team.

Located on the waterfront in Red Hook, Brooklyn, The Liberty Warehouse is a premier event venue specializing in weddings, corporate events, nonprofit galas, and large-scale celebrations. This role is ideal for someone with hospitality or event experience who enjoys working closely with clients while keeping the many details behind each event organized and on schedule.

The Assistant to the Director of Sales will provide direct administrative and planning support throughout the sales and event-planning process. This is a hands-on position requiring strong communication skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities include:

• Assisting the Director of Sales with daily administrative and client-related tasks

• Responding to inquiries and maintaining timely communication with prospective and contracted clients

• Scheduling venue tours

• Preparing and updating contracts, proposals, invoices, BEOs, timelines, floor plans, and other event documents

• Tracking deposits, payments, deadlines, guest counts, and outstanding client information

• Coordinating event details with clients, planners, vendors, and the internal operations team

• Maintaining accurate client files and ensuring important details are properly communicated

• Supporting the team during events by answering questions, coordinating details, and helping the event run smoothly

• Providing additional administrative and event support as needed

Qualifications:

• Minimum of one year of experience in hospitality, events, catering, venue sales, or a related field

• Excellent written and verbal communication skills

• Strong organizational skills and exceptional attention to detail

• Ability to prioritize and manage multiple events and deadlines at once

• Professional, polished, and comfortable communicating directly with clients

• Proficiency with Google Workspace and Microsoft Office

• Availability to work a flexible schedule, including evenings and weekends when events require it
