Payroll Specialist

A well-established industrial services organization in Odessa, TX is seeking an experienced Payroll / Accounting Specialist to take ownership of in-house payroll processing for 200+ employees across multiple departments while also supporting key accounting functions. This position requires someone with hands-on, start-to-finish payroll experience . We are specifically seeking candidates who have personally calculated, processed, reconciled, and managed payroll internally—not someone whose primary payroll responsibility has been transmitting employee data or hours to a third-party payroll provider. The position reports directly to the Controller and works closely with accounting, operations, employees, and senior leadership. Key Responsibilities Independently manage and process in-house payroll for 200+ employees across multiple departments Gather, review, and validate employee time records and calculate hours worked Prepare payroll and ensure appropriate payroll funding is in place Calculate and process employee earnings, deductions, taxes, and adjustments Manage deductions including garnishments, 401(k), healthcare benefits, and other employee deductions Handle payroll tax deposits, filings, and quarterly reporting Reconcile payroll and identify and resolve discrepancies Maintain accurate payroll and employee records Respond directly to employee and management payroll questions Ensure compliance with federal, state, and local payroll regulations Prepare payroll and accounting reports for management Support Accounts Payable and Accounts Receivable Complete bank and account reconciliations Prepare and post journal entries Assist with job costing and job cost reviews Support month-end close, financial reporting, and audit preparation Maintain strict confidentiality of employee and company financial information Qualifications 3+ years of hands-on payroll processing experience Demonstrated experience personally processing and managing payroll in-house Experience managing payroll for approximately 200+ employees , preferably across multiple departments, locations, or business units Strong understanding of payroll calculations, taxes, deductions, garnishments, benefits, and payroll compliance Experience reconciling payroll and resolving payroll discrepancies General accounting experience, including AP, AR, reconciliations, journal entries, and month-end support Experience with VISTA Payroll preferred Industrial, construction, electrical, oil & gas, or similar workforce payroll experience is a plus Excellent attention to detail, organization, and time management Strong communication skills and a collaborative, team-oriented attitude High level of professionalism, discretion, and confidentiality Candidates should have experience actively processing payroll from start to finish within an organization . Experience limited primarily to collecting timecards or transmitting payroll information to third-party providers such as ADP will not meet the experience requirements for this position.
