Order Coordinator

We are seeking a dedicated and detail-oriented Order Coordinator to join our team. This vital role supports our customer service and daily operations by ensuring accurate order processing, efficient delivery scheduling, dispatching, and clerical support. The ideal candidate will communicate effectively with customers, drivers, plant personnel, and management to facilitate smooth order fulfillment, contributing to our commitment to professionalism, timeliness, accuracy, cost-efficiency, and ethical standards.

Key Responsibilities:

- Enter customer orders accurately into the system and verify order details

- Schedule deliveries and coordinate dispatch to ensure timely service

- Assist with batching and logistical support to optimize delivery routes

- Provide clerical support including data entry, filing, and documentation management

- Communicate with customers to confirm orders, address inquiries, and provide updates

- Liaise with drivers, plant personnel, and management to coordinate order fulfillment

- Monitor order progress and resolve any issues or discrepancies promptly

- Maintain organized records of orders, deliveries, and related documentation

Skills and Qualifications:

- High school diploma or equivalent; additional coursework in logistics or customer service preferred

- Proven experience in order entry, dispatch, or customer service roles

- Excellent communication and interpersonal skills

- Strong organizational and multitasking abilities

- Attention to detail and accuracy in data entry

- Ability to work collaboratively in a team environment

- Proficiency with computer systems and MS Office applications

- Ability to prioritize tasks and manage time effectively

Essential Functions:

• Provide courteous, professional, and responsive customer service by telephone and in person.
• Accurately enter, review, and confirm customer orders, including product type, quantity, delivery location, schedule, and special instructions.
• Coordinate and assist with scheduling and dispatching sand, gravel, and concrete deliveries, communicating updates and changes to customers, drivers, and operations personnel.
• Assist with batching and related plant operations when properly trained, authorized, and assigned.
• Answer and direct incoming telephone calls, take accurate and detailed messages, and respond professionally to customer and employee inquiries.
• Provide general clerical and administrative support, including assistance with accounts receivable and accounts payable functions.
• Assist with maintaining safety records, truck inspection documentation, purchase orders, and other required office and operational records.
• Maintain accurate, organized, and confidential customer information, order records, and company documentation.
• Participate in required meetings and safety training and promptly communicate safety concerns, operational issues, and customer service matters to management.
• Perform other job-related duties as assigned.

Required Qualifications:

• High school diploma or GED.
• Six months to one year of office or clerical experience, including experience operating a multi-line telephone system.
• Valid state-issued driver's license.
• Basic computer skills and the ability to operate standard office equipment.
• Strong verbal and written communication skills, with the ability to interact professionally with customers, employees, and business partners.

Preferred Qualifications:  

• Experience with dispatching, order entry, scheduling, or customer service.
• Experience in the concrete, aggregate, construction, transportation, or a related industry.
• Familiarity with delivery coordination, plant operations, or construction material order processing.
