Executive Secretary, Internal Medicine, Full Time, First Shift

Job Description Provide support to departmental SVP/CIO and the Information Systems & Technology management team. Perform secretarial duties as required to support operations of the department. Location Cincinnati, OH, United States Qualifications Minimum Required: High school diploma. Preferred: Associate Degree and/or the in education in a related field. Preferred: Associate Degree and/or the in education in a related field. LICENSE & CERTIFICATION: None Required. Minimum Required: two years of experience in data base management with proficiency in Excel, Word, and PowerPoint. Responsibilities SVP/Directors Support Coordinates Leadership meetings, prepares agenda, attends meeting and takes minutes Coordinates other meetings as needed, following the specific criteria set by the meeting sponsor and providing the tools identified for the success of the meeting Department Support Responsible for coordinating needs for all departmental equipment Responsible for conference room calendars Responsible for maintaining the store room with sufficient stock and replenishing as needed. Collects orders from contacts and places orders in a timely manner to maintain stock Develops, provides and maintains all Surveys as assigned. Coordinates reporting on survey data with staff as needed Maintains proficiency in desktop applications (Microsoft Office) to support needs of the organization Responsible for Travel Authorization process – assisting in completion of form, obtaining signatures and processing check requests or credit card payment when needed Assists in toner replacement for printers and copiers – Places calls for copier repairs Prepares drafts memos, letters, and departmental communications Maintains Employee contact information Uses independent judgment in creating forms and other useful tools and formats to enhance the end result of the product. Dept Org Support Maintain and update Organizational Charts Work with managers to get completed forms for new hires and terminated associates Updates forms- for new hire packets, exit packets, TA packets Responsible for miscellaneous project support on an as needed basis Provides weekly status reports to Business Office Manager About UC Health UC Health is an integrated academic health system serving Greater Cincinnati and Northern Kentucky.
