Job Summary

Hope Clinic for Women is seeking a highly organized, relational, and execution-driven Event Coordinator to lead the planning and execution of all fundraising and engagement events.

This role is ideal for someone who thrives in bringing vision to life—someone who is both detail-oriented and people-focused, with the ability to manage logistics while creating meaningful, high-quality experiences for donors, partners, and guests.

The Event Coordinator will work closely with the Development Director and CEO to execute events with excellence, ensuring every detail aligns with the mission, brand, and strategic goals of Hope Clinic.

This individual should also have a strong understanding of and alignment with Hope Clinic’s pro-abundant life message, ensuring that every event experience both educates and inspires attendees toward this mission.

Job Responsibilities

Key Events Include:

  • Annual Gala (Spring)
  • Cider Carols (December)
  • Friends of Hope Gatherings (throughout the year)
  • Additional one-time or special events

CORE RESPONSIBILITIES:

Event Planning & Execution

  • Lead the logistics, planning, and execution of all Hope Clinic events in collaboration with the Development Director and CEO
  • Translate event vision into detailed execution plans, timelines, and deliverables
  • Serve as on-site/day-of coordinator, ensuring seamless event flow and problem-solving in real time
  • Develop and manage event run-of-show documents and timelines

Event Strategy & Branding Execution

  • Collaborate with Development Director on event vision, goals, and overall experience
  • Take ownership of executing branding elements and event aesthetics in alignment with approved direction
  • Ensure consistency in messaging, design, and guest experience across all event touchpoints

Vendor & Logistics Management

  • Research, source, and secure vendors (venues, catering, rentals, décor, AV, entertainment, speakers, etc.)
  • Request proposals, negotiate pricing, and manage vendor relationships
  • Oversee vendor communication, contracts, invoicing, and timelines
  • Track and help manage event budgets in collaboration with Development Director

Event Communications & Guest Experience

  • Manage communication with attendees, sponsors, and table hosts
  • Assist in recruiting and stewarding sponsors and hosts
  • Oversee event registration systems and guest tracking
  • Ensure a high-touch, relational experience for all participants
  • Ensure accurate tracking of event attendance and engagement (CRM preferred)
  • Assist with post-event follow-up needs in collaboration with the development team

 

Friends of Hope (Micro-Events)

  • Proactively identify and recruit hosts from existing donors and supporters
  • Coordinate scheduling and planning of Friends of Hope gatherings
  • Serve as support or on-site coordinator for select gatherings
  • Build and maintain relationships with hosts to encourage continued engagement

Meetings:

  • Regular check-ins with Development Director
  • Weekly virtual all staff check-in
  • Weekly team meeting (L10)
  • Monthly Continuing Education opportunities
  • Quarterly Staff retreats (usually on a Friday, 8:30-2:30)

Qualifications

Qualifications:

  • Proven experience in event planning, coordination, or fundraising events
  • Strong project management and organizational skills
  • Excellent written and verbal communication skills
  • Experience working with vendors, budgets, and timelines
  • Ability to work occasional evenings and weekends for events
  • Experience with CRM systems (Salesforce preferred but not required)
  • Bachelor’s degree preferred

Compensation & Incentives

In addition to hourly compensation, this role is eligible for quarterly performance-based incentives tied to fundraising success and event outcomes, rewarding excellence in execution and impact.
