Full time Weekend Family Services Coordinator

FAMILY SERVICES COORDINATOR

Reports To: Mission Services Director

Status: Full-Time Hourly $21-$25 per hour

Hours: This is a consistent weekend position with an expected schedule of Fridays 12:00 pm to 10:00pm Saturdays from 9:00am9:00pm and Sundays from 9:00am9:00pm. While this position follows a generally consistent schedule hours may be adjusted based on operational needs. Minimum of 32 hours per week.

Position Overview:

The Family Services Coordinator plays a vital role in creating a welcoming safe and supportive environment for our guests. This position supports daily operations guest interactions and facility management to ensure a positive experience for families during their stay.

KEY RESPONSIBILITIES :

Guest Services

• Foster a sense of community by remaining visible accessible and approachable to guests ensuring requests are addressed promptly and empathetically.
• Identify and report special family situations as outlined in procedures.
• Offer conflict de- escalation support as needed.
• Perform detailed administrative tasks including maintaining shift notes updating rosters data entry and completing projects assigned.
• Serve as the primary point of contact for phone calls visitors and deliveries ensuring a warm and professional welcome.
• Assist with on-site vendor coordination as needed.
• Manage visitor check-ins providing clear and supportive guidance to guests and volunteers.
• Receive and process in-kind donations with care and accuracy.
• Retrieve daily mail and forward to appropriate staff members.
• Handle interruptions with professionalism and prioritize tasks effectively.
• Support occupancy management by preparing facilities coordinating guest check-ins conducting house orientations and managing check-outs including related recordkeeping.
• Assist with food pantry inventory monitoring supply levels and coordinating replenishment as needed.
• Assist with driving a company shuttle vehicle to transport families to and from treatment locations when volunteer drivers are unavailable.
• Help maintain the family database ensuring that all information is kept current and accurately recorded for reliable reporting
• Operate off site hospitality cart in accordance with program guidelines.

Volunteer Coordination

• Delegate and coordinate tasks for family services volunteers under the guidance of the Mission Services Director.
• Ensure accurate scheduling of volunteers on the database making sure the house calendars and database volunteer calendars match.
• Ensure database shifts are added regularly to allow volunteers to record hours.
• Maintain accurate volunteer profiles in the database and work with Volunteer Local software to troubleshoot issues.
• Support the meal program by delegating and coordinating meal group volunteers under the guidance of the Mission Services Director.

Facilities Management

• Maintain clean and comfortable common areas and workspaces by performing light housekeeping tasks such as cleaning restocking supplies managing trash and recycling and assisting with laundry.
• Track and organize incoming in-kind donations for efficient storage and use.
• Assist with vendor coordination on site.
• Track and organize inventory of house supplies food program guest supplies etc. and communicate needs to Mission Services Director .

GENERAL RESPONSIBILITIES

• Demonstrate thorough knowledge of RMHC West Michigan policies and procedures.
• Attend and actively participate in staff meetings and training sessions.
• Maintain positive collaborative relationships with staff and volunteers to support a unified team effort.
• Perform other duties as assigned to meet organizational needs.
• Coverage at local program locations as needed.
• Provide backup coverage for leadership as needed including managing after hours phone calls when requested.
• Hours may be adjusted based on operational needs including program coverage vacation coverage call-ins or temporary scheduling adjustments needed to support operations.

• Strong organizational skills with proven ability to prioritize tasks and maintain attention to detail.
• Reliable punctual and team-oriented demonstrating a positive attitude in all interactions.
• Calm and professional demeanor in high-pressure situations; adept at conflict resolution.
• Exceptional decision-making flexibility and problem-solving abilities.
• Ability to meet hospital and healthcare partner requirements which may include proof of vaccinations health screenings and compliance with site-specific safety protocols or trainings.
• Outstanding verbal and written communication skills.
• Self-motivated and able to work independently while maintaining accountability.

Requirements:

• Clean driving record and ability to pass a background check.
• High school diploma or GED.
• Professional experience is preferred ideally in household or hospitality management environmental services residential programs or human services.
