Freelance Production Coordinator

Role Description We are seeking a highly organized Freelance Production Coordinator for a short-term festival activation based in Chicago, IL. This is a temporary contract role running strictly from July 24th to August 4th . This role focuses heavily on event logistics, team coordination, and asset management. The Coordinator will be responsible for sourcing and managing a local team of Production Assistants, as well as overseeing the end-to-end fulfillment of festival giveaway items. Day-to-day, this person will act as the on-the-ground operational lead, managing everything from vendor sourcing to courier logistics to ensure a seamless activation and strike. Key Responsibilities Production Assistant Sourcing & Management: Leverage local networks to source, hire, and manage a reliable team of Chicago-based Production Assistants for the duration of the event. Vendor & Transportation Logistics: Source and hire local drivers for vans/box trucks. Coordinate all vehicle rentals, couriers, and daily transit needs for event materials. Gifting Item Assembly Oversight: Lead the PA team in the accurate assembly, organization, and fulfillment of all festival giveaway items. Supply Sourcing: Procure necessary on-site materials, including sourcing organization bins, packing supplies, and daily operational needs. Post-Event Shipping & Wrap: Manage all post-event strike logistics, ensuring all remaining materials, bins, and assets are properly packed and shipped out. Qualifications Must be available to work fully on-site in Chicago, IL, for the entire duration of the project (July 24 - August 4). Prior experience as a Production Coordinator in live events, festivals, or experiential activations. Strong local network in the Chicago area with proven success in sourcing and managing reliable local crew, PAs, and specialty vendors (such as drivers and couriers). Demonstrated hands‑on experience managing event logistics, including shipping, supply runs, and vendor coordination. Exceptional organizational skills, particularly regarding inventory, fulfillment, and team delegation in fast-paced environments.
