JOB SUMMARY
The Marketing & Events Coordinator is a dynamic and multifaceted role responsible for supporting the planning, coordination, training and execution of on‑site and off‑site events that elevate brand awareness, enhance guest experiences, strengthen community engagement, and drive catering and retail revenue growth. This position plays a key role in fostering the company’s active involvement in the local community by coordinating activities related to sponsorships, fostering community partnerships, and enhancing the onsite activation of the Bear’s Asheville property. This role works closely with the Asheville Marketing & Events Manager and additional team members company wide through the marketing department. This position serves as an operational liaison between the Asheville restaurant teams and the Catering administrative team to ensure seamless communication, preparation, and execution of private on and off‑site catering events. The role requires a highly organized and hands‑on hospitality professional who is comfortable working both administratively and operationally in fast‑paced event environments, while training and developing staff to deliver events that maintain Bear’s service standards and ensure exceptional guest experiences. The ideal candidate is passionate about hospitality, community engagement, guest experience, and operational excellence, with strong leadership skills and the ability to thrive in high‑volume event environments.PRIMARY RESPONSIBILITIES
Community Outreach Support development of relationships with local organizations, sponsors, and community leaders to foster partnerships and increase the company’s visibility. Represent the restaurant at community events, festivals, and meetings to strengthen community ties and promote the brand. Collaborate with the charitable arm of the organization to support and execute fundraising events, donation drives, and other initiatives. Support the data collection and tracking of partnership and sponsorship impact to measure ROI and identify opportunities for improvement. Off Site Catering Personally work catering and vending events ensuring seamless operations and addressing issues as they arise. Train and support staff executing full‑service catering. Assist with maintaining inventory, smallwares, and catering equipment for off‑site events. Follow Bear’s catering standards in relation to uniform, food quality, presentation, and service. On Property Events Serve as hospitality point person on high‑volume days (nights and weekends) ensuring onsite activities such as live music, vendors, and games operate as expected. Support the development of an annual calendar of events, ensuring alignment with the company’s goals and community engagement initiatives. Coordinate in‑house events (both public and private), recurring live music performances, and onsite fundraisers, ensuring exceptional guest experiences. Distribute marketing materials, including social media and online promotions, to maximize event visibility. Conduct post‑event evaluations to gather feedback and identify areas for improvement. Marketing and Promotion Work with Social Media Manager to create engaging social media content to promote events, community involvement, and the restaurant’s charitable initiatives. Assist in the development of marketing strategies and promotional campaigns to maximize event attendance and engagement. Stay updated on industry trends, competitor activities, and best practices to plan innovative ideas and events. Work closely with the marketing team to design event materials, including flyers, banners, and online advertisements. Maintain the event calendar and communicate upcoming events to staff, partners, and the public. Sales and Revenue Growth Conduct sales calls and meetings to grow catering services and retail product lines, identifying and securing new business opportunities. Develop and implement strategies to upsell additional services and products during events and throughout the community, particularly in relation to expansion of Bear’s bottled sauces and rubs.WORK SCHEDULE
This role’s schedule is determined by the needs of the business and is adjusted weekly to accommodate upcoming events. On non‑event days, the role typically follows standard weekday office hours. The position averages 40 hours per week, depending on workload. Flexibility is essential, as evening, weekend, and holiday availability will be required for event support. The role involves participation in large company events outside of regular office hours. Occasional travel may also be required. This position requires full‑time onsite presence. Remote work options are not available for this role.SKILLS REQUIRED

Marketing and Outreach Skills Proficiency in social media and digital marketing to promote events and engage with the community online. Creativity and innovation to develop engaging outreach strategies and unique event ideas. Knowledge of public relations to effectively represent the organization and manage its reputation. Analytical and Problem‑Solving Skills Data analysis skills to evaluate the success of outreach efforts and events, using metrics to inform future strategies. Problem‑solving abilities to address challenges and adapt plans as needed. Technical Skills Proficiency in event management software and tools (e.g., Eventbrite, Caterzen) and office software (e.g., Google Workspace). Basic graphic design skills for creating promotional materials (e.g., Canva). Other Essential Skills Cultural competence to work effectively with diverse populations and promote inclusivity. Flexibility and adaptability to handle last‑minute changes or unexpected issues during events. Budget management skills to plan and execute events within financial constraints. Passion for community engagement and a commitment to the organization’s mission.CERTIFICATIONS/TRAINING REQUIRED
Successful completion of company training program, including mandatory sexual harassment training within 8 weeks of start date. ServSafe certification – must have or obtain within 8 weeks of start date and maintain certification throughout the course of employment. TIPS alcohol certification – must have or obtain within 8 weeks of start date and maintain certification throughout the course of employment.DRIVING REQUIREMENTS
Valid driver’s license and reliable transportation to attend off‑site meetings and events, and drive company vehicles as needed. Proof of personal insurance that meets company requirements. Clear motor vehicle record (MVR) check. Comply with company policies regarding safe driving practices and maintain a clean driving record throughout the duration of employment. Ability to safely operate company vehicles, including large vans and trucks.PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk and working on a computer. Frequent use of hands and fingers for typing, handling documents, and preparing event materials. Strong visual acuity for reading and analyzing data on computer screens, event layouts, or printed documents. Ability to stand, walk, and remain on your feet for extended periods (up to 8+ hours) during events. Capacity to perform repetitive tasks, such as serving food and beverages or clearing tables, throughout the shift. Ability to lift, carry, and transport items weighing up to 50 pounds, such as food, trays, tables, chairs, and other catering equipment. Comfortable maneuvering and carrying heavy trays of food and beverages safely. Frequent bending, stooping, and reaching to set up and clear tables, arrange event spaces, and access supplies or equipment. Strong hand‑eye coordination for carrying trays, and serving guests efficiently and safely. Ability to navigate crowded or confined spaces quickly and efficiently without disrupting guests or the event flow. Comfortable working indoors or outdoors in various weather conditions, depending on the event location. Ability to adapt to fluctuating temperatures in kitchens, serving areas, or outdoor venues. Ability to maintain clear and professional communication while performing physical tasks, ensuring guest needs are met promptly. Sharp hearing acuity to communicate and respond effectively in loud environments with significant background noise, typical of restaurant and event settings. Withstand exposure to possible food allergens including but not limited to meats, fish, nuts, dairy, and oils. Withstand exposure to and work with cleaning chemicals.
