Position Summary


The Extra Help Medical Office Assistant is responsible for receptionist duties for all staff, patients and visitors in the Department of Surgery. This is an extra help vacancy that will work under the direct supervision of the Director of Administrative Operations.



Duties & Responsibilities

• Provides front-desk and reception support, including responding to and directing telephone calls, and coordinating inpatient and outpatient appointments in accordance with established procedures.
• Receives, sorts, opens, and distributes incoming mail; sends correspondence and medical records through mail, email, and fax.
• Creates, organizes, updates, and maintains departmental files and records, including patient, financial, and directory records.
• Tracks the location and availability of medical charts and assists with retrieving records as needed.
• Compiles and prepares routine departmental reports.
• Opens new files and maintains existing records, ensuring medical charts, correspondence files, and technical/reference materials remain organized and current.
• Performs data entry into electronic patient-care and administrative systems, including electronic medical records.
• Operates standard office equipment, including copiers and voicemail systems, and utilizes word-processing, spreadsheet, and related software to prepare reports, invoices, financial documents, correspondence, case histories, and medical records.
• Provides patients with routine information and assistance.
• Monitors and replenishes clerical and office supplies by placing orders as necessary.
• Perform other related duties and participate in special projects as assigned.

Minimum Qualifications

1. High School diploma or equivalent.
