Position Summary

The Production Assistant supports the creation, review, and delivery of valuation reports by ensuring data is accurate, complete, and consistent with departmental standards. Working closely with Account Managers, Administrators, and Specialists, this role is responsible for entering and validating valuation data, maintaining document quality, and supporting the production process from initial compilation through final delivery. The Production Assistant serves as a key technical and quality-control resource, helping to ensure valuation reports are produced efficiently, accurately, and within established deadlines.

Responsibilities

• Manage the preparation, organization, and production of valuation reports, ensuring accuracy, consistency, and compliance with departmental standards.
• Review, validate, and maintain valuation data received from specialists, clients, and internal systems, ensuring data integrity throughout the production process.
• Serve as a technical resource to Account Managers, Administrators, and Specialists on production workflows, reporting tools, and document standards.
• Administer and support valuation systems, databases, templates, and digital workflows, ensuring information is current, accurate, and properly maintained.
• Assist with the implementation, testing, and adoption of new technologies, production tools, and AI-enabled solutions designed to improve efficiency, accuracy, and scalability.
• Ensure data and formatting is consistent with multiple department styles and the documents are error free. Monitor and maintain data quality across systems, researching and resolving discrepancies while ensuring compliance with departmental standards.
• Identify opportunities to streamline workflows through automation, process improvements, and enhanced use of technology.
• Collaborate with specialists and valuation staff to resolve data, reporting, and documentation issues in a timely manner.
• Generate reports, dashboards, and production metrics to support operational decision-making and workflow management.
• Support system enhancements, software upgrades, testing, and technology-driven process improvements, while serving as a training resource to colleagues on production systems, workflows, and best practices.
• Undertake special projects and other duties as assigned by the Head of Production

Qualifications

• Strong typing skills
• 1-2 years data entry experience preferred
• Proficiency in Excel, ability to manipulate data with knowledge and understanding of text functions and v-lookup
• Familiarity with AI and AI enabled products a plus
• Computer literate (Microsoft Office), with strong technical problem solving skills and the ability to learn new systems and enhancements to existing systems
• Ability to work well under pressure and meet strict deadlines
• Ability to work as a team player yet be self-directed to work independently
• Detail oriented, accurate, discreet, dependable and resourceful
• Strong oral and written communication skills to be able to communicate across different areas of the business
• Positive attitude and strong work ethic
• Ability to maintain focus and concentration while performing highly detailed and sometimes repetitive activities
• Interest and understanding of fine art and furniture and decorative arts a plus

The proposed base salary for this position ranges from $48,000 - $52,000. In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
