Maintenance Coordinator Location: Tonawanda, NY Schedule: 7:00 am – 4:00 pm (preferred) The Maintenance Coordinator manages the efficient use of personnel, materials and machine downtime to keep production equipment available and performing at satisfactory levels. The role plans, schedules, coordinates and reports preventive maintenance and repair work orders to ensure operational effectiveness. Responsibilities Maintain backlog of work orders, move them to the ready‑to‑schedule phase and review technician feedback upon completion. Manage work‑order priority, develop job plans, define parts and materials, and engage resources to create safe, effective and efficient work‑control plans. Coordinate outage planning activities: scope identification, control, scheduling, risk assessment, execution and continuous improvement initiatives. Partner with the Production Superintendent to align plans and schedules with equipment availability for plant operations. Incorporate safety requirements and Job Hazard Analyses for all work orders to promote safe work behaviors. Oversee end‑to‑end planning and execution of work orders and resolve any issues that arise. Maintain real‑time equipment bill of materials in J.D. Edwards CMMS and update parts that have changed or are new. Schedule preventive maintenance on all plant equipment and surrounding areas, recording accurate work completion data in CMMS. Compile work‑order packets, analyze required man‑hours and resources for closure. Use CMMS to lead technicians in reliability efforts—precision, predictive and preventive maintenance for annual budget planning. Screen and approve work orders in CMMS to ensure appropriate coding and efficient resource utilization. Manage and track maintenance budget, identify variances and provide explanations for deviations. Monitor maintenance schedules to avoid conflicts with operations or production, such as machine downtime. Prioritize non‑emergency and break‑in work order requests, approve or reject, review completed orders, and produce schedules for the next day or week. Identify parts needed for maintenance tasks and plan/budget for acquisition. Initiate, track and manage preventive maintenance tasks in CMMS (JD Edwards). Maintain planned work‑order backlog according to facility guidelines and use it to schedule daily and weekly work lists. Screen and approve all work orders for the operating department, ensuring coding accuracy and correct symptom description. Plan and schedule installation and startup of new equipment to minimize operational disruption. Develop hands‑on knowledge of production equipment, parts, functions and processes through observation and employee engagement on the production floor.
