Senior Permit Coordinator

Sr. Permit Expeditor

New York State Solar is seeking an experienced Senior Permit Expeditor with NYC Department of Buildings (DOB) filing experience. The ideal candidate is a Class 1 or Class 2 Filing Representative capable of managing complex permitting processes and coordinating with internal teams, regulators, and project stakeholders to ensure timely project approvals.

Duties & Responsibilities:

• Supervise at least two (2) full-time employees, including assigning work, setting schedules, approving time, monitoring performance, and providing coaching and performance evaluations.
• Submit, track, and secure permits, including construction, HVAC, and other specialized permits; ensure compliance with NYC Building Code and zoning regulations.
• Serve as Building Code and Zoning consultant for internal teams and projects.
• Attend DOB meetings and coordinate with plan examiners and commissioners to advocate for plan approvals and resolve filing issues.
• Monitor and resolve construction violations, Stop Work Orders (SWOs), and compliance matters.
• Ensure timely submission, tracking, and escalation of permit applications in accordance with internal SLAs and regulatory requirements.
• Communicate permit status updates to Sales, Design, and Project Management, including project closeouts, violations, and SWOs.
• Oversee permitting processes involving SWOs and DOB inspections, coordinating with jurisdictions including NYC, Long Island, Westchester, Rockland, Putnam, and Orange counties.
• Manage permitting and licensing compliance, maintaining documentation and communications on behalf of Professional Engineers (PEs), Master Electricians, and company leadership.
• Establish and enforce departmental procedures and ensure compliance with legal, safety, and regulatory requirements.
• Support cross-departmental coordination between Permitting, Design, Interconnection, and Executive leadership.
• Participate in strategic planning and process improvements related to permitting operations.
• Perform other duties as assigned.

Job Requirements:

• Current NYC Department of Buildings (DOB) Registered Filing Representative Class 1 or Class 2 required.
• Minimum 5+ years of experience with NYC permitting and filing processes.
• Strong working knowledge of DOB NOW, BISWEB, FDNY filings, and Landmarks Preservation Commission (LPC) approvals.
• Ability to read and interpret architectural drawings, engineering plans, and site plans, identifying code or zoning issues before DOB objections occur.
• Knowledge of NYC Building Code, zoning regulations, and construction permitting processes.
• Experience coordinating with DOB plan examiners, inspectors, and regulatory agencies.
• Solar energy permitting experience preferred.
• Strong project management, organizational, and communication skills.
• Experience using project management or CRM tools (e.g., Trello, Asana, Salesforce) preferred.
• Proven ability to coordinate cross-functional teams and resolve permitting challenges to keep projects on schedule.
