This position serves as a key leader for the Awards Management team, supporting scholarship operations, student outreach, scholarship awarding processes, and compliance with institutional, state, federal, and donor requirements. The position also assists students at Dallas College in all aspects of the financial aid process and helps ensure the institution receives financial aid funds in a timely fashion.The coordinator collaborates closely with Financial Literacy Coaches, Awards Management Coordinators, Financial Aid, Foundation staff, Information Technology, Enrollment Services, academic departments, and community partners to increase student awareness of scholarship opportunities and ensure equitable and timely awarding scholarship funds. The position provides operational leadership, process improvement support, staff oversight, training, reporting, and customer service while promoting student access to financial resources that support enrollment, persistence, and completion.**Essential Duties & Responsibilities*** Works collaboratively with Financial Literacy Coaches (FLCs) and Awards Coordinators (ACs) to process external, internal, and foundation scholarships.* Provides secondary oversight to Awards Management team.* Promote Dallas College scholarships, including leading information sessions and outreach events.* Aids in the development and improvement of processes and practices.* Aids in the development and execution of communication plans.* Regularly travels to local high schools and civic organizations to present as part of outreach efforts.* Monitor scholarship postings and selections to ensure scholarships are awarded consistently and within federal, state and Dallas College guidelines.* Provide front-line customer service to students, including answering calls and responding to email inquiries.* Record, process, monitor and track external scholarships.* Distribute scholarship offers and process acceptance forms.* Apply Foundation scholarship awards to students’ accounts in the college database system.* Coordinate and recruit scholarship review committees.* Manage all student communications via email and text messaging.* Assist with the end of semester reports and reconciliation of awards.* Assist with special projects and/or events within Dallas College Scholarship Department* Coordinates with information technology (IT) to ensure the accuracy of all information entered the system.* Supervise, train, mentor, and evaluate assigned staff.* Monitor team productivity, service levels, and operational outcomes* Required Dallas College Professional Development Hours per Academic Year.* All employees are required to complete a minimum of 19 hours.* People leaders are required an additional 16 hours of leadership development.* Perform other duties not listed as assigned.* Exercises full discretion and decision-making authority in the recruitment, selection, hiring, mentoring, coaching, development & termination of staff, ensuring alignment with organizational goals, budgetary constraints, and workforce planning strategies.* Drive high performance by administering the performance management process timely, setting clear expectations, conducting performance evaluations, and implementing initiatives that enhance employee engagement, motivation, and retention.## **Minimum and Preferred – Education, Experience, and/or Certifications****Required Qualifications for Role*** Bachelor’s degree required; equivalent combination of education and experience may be considered.* Two (2) years of customer service experience.* Two (2) years of experience with scholarship management, financial aid, or grant management.* Official transcript will be required.**Other Preferred Qualifications for Role*** Bilingual or multilingual preferred.\\*\\*\\* Will be subject to a criminal background check. Some positions may be subject to a fingerprint check. \\*\\*\\*## **Knowledge, Skills, and Abilities****Required Qualifications for Role*** Demonstrates knowledge of policies and procedures that affect clients and/or employees, applying them fairly and consistently; ensures compliance with local, state, and federal laws and regulations.* Must have excellent communication skills and the ability to interact with internal/external stakeholders and constituents within the Dallas College community network.* Advanced computer skills required, including Microsoft Office software and database management.* Experience handling multiple assignments and prioritizing workload.* Experience working with students.* Ability to maintain strict confidentiality about donors, students, and general business matters.* Ability to always have a positive and professional demeanor, while maintaining quality customer service.* Superior interpersonal, written, and oral communications skills; ability to work successfully with a variety of populations.* Excellent organizational skills: ability to plan workflows, handle multiple tasks simultaneously, manage details, problem solve, meet deadlines, and communicate progress regularly to Director.* Determine the types and amounts of financial aid to be awarded through the packaging process according to federal, state, and institutional requirements.* Demonstrated success working with diverse communities.* Monitor individual student awards.* Resolve data conflicts and over awards.* Utilize professional judgment on an individual basis to adjust a student’s eligibility based on documented mitigating circumstances in accordance with federal statutes.* Provide financial aid counseling to students and parents regarding all aspects of the financial aid process. Make necessary referrals to other student service offices.* Provide support to students experiencing family, personal or economic crises which may impact school performance.
