Veterinary Client Service Representative

Veterinary Cancer Group of Los Angeles is hiring full‑time experienced Veterinary Client Service Representatives to join our oncology team! The Client Care Specialist is the primary support to our front office. Ideal Candidate Veterinary Client Care Specialist who is friendly, professional and courteous, capable of handling many tasks at once with many interruptions, and maintains the appearance of the business office. Knowledge and desire to help animals and their owners are required. Job Overview As a Veterinary Client Care Specialist, you will be an integral part of the hospital, responsible for a variety of tasks related to customer service and patient care within the veterinary practice. Tasks include scheduling appointments for existing clients, preparing new clients for consults, animal handling, record management, presenting financial options and estimates, accurately reviewing service charges, entering information into the client processing database, extensive client interaction, and preparing clients for their next appointment. Qualifications Experience as a Veterinary Client Care Specialist preferred Experience in oncology is a plus Team player and willingness to cross‑train in all areas Positive attitude Job Responsibilities Greet clients and patients in a friendly manner. Get weights on patients and update medical record. Escort and place patients in exam rooms. Notify the doctor of the patient’s arrival. Ensure new patient records are in the system for the following day, adding a new patient history sheet if needed. Confirm appointments for the following day. Prepare drop‑off forms, estimates and client authorizations. Coordinate incoming calls and client callbacks. Set up and schedule all appointments for new patients and rechecks. Track no‑shows and canceled appointments by noting them in the medical record. Gather new patient records by calling the referring veterinarian’s office. Enter new client and patient information into the computer. Enter all correspondence into patients’ medical record. Keep existing client and patient information up to date. Perform light cleaning of exam rooms and front lobby area. Check clients out by receiving and processing payment for services rendered and reviewing and printing invoices. Receive signed surgery/treatment consent forms and euthanasia forms. Monitor incoming faxes/emails and distribute appropriately. Attach laboratory results to medical record and task to doctor for review. Perform other duties as assigned. Pay Range: $20.00–$25.00 hourly, dependent upon experience.
