JOB SUMMARY:
The Logistics Support Administrator provides administrative support to the Logistics Department by coordinating documentation, maintaining records, and assisting with daily logistics operations. This role requires a highly organized, detail-oriented individual with strong Microsoft Excel skills and experience using document management and file-sharing platforms to ensure accuracy and operational efficiency.DUTIES AND RESPONSIBILITIES:
Run daily Syspro logistics shipping reports to track and verify shipment activity. Collaborate with the accounts payable department to support the three-way match approval process for timely vendor payments. Maintain and share shipment, subcontract, and cost data with the accounting department to support financial reporting and billing. Enter and manage shipment records for subcontractors and customer job sites as directed by the Logistics Manager. Upload and track costs related to subcontract work to support accurate budgeting and invoicing. Perform administrative support functions for the logistics department while ensuring accuracy and timely reporting. Assist with additional logistics duties as assigned, including coordination with trucking companies and reviewing parts or structural movement.MINIMUM JOB REQUIREMENTS:
High School Diploma or equivalent experience.KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Proficiency in Microsoft Excel and experience with document sharing platforms. Knowledge of record-keeping practices. Strong organizational and multitasking abilities to prioritize tasks effectively. Excellent attention to detail, with a focus on accuracy and efficiency. Strong communication skills for effective collaboration with team members and other departments. Familiarity with logistics tracking and supply chain procedures is a plus. Experience with manufacturing ERP software is preferred. Experience in logistics or supply chain management is preferred.CONDITIONS OF EMPLOYMENT:
This role may require extra hours, particularly at the month-end closing, to meet deadlines and ensure all tasks are completed. Given the evolving nature of our operations, this position will need to be adaptable and open to learning new processes. Successful candidate must submit to post offer, pre-employment physical examination/medical history check.WORKING CONDITIONS AND PHYSICAL EFFORT:
Work is normally performed in a typical interior/office work environment. While performing the duties of this job, the incumbent is regularly required to sit and use a computer. Very limited physical effort required.
