Position Type: 90-Day Contract-to-Hire


Pay Rate: $25.00 - $28.00 / hour


Schedule: Monday - Friday, 7:30 AM - 4:30 PM (CST preference) | 40 hours/week, 30-min lunch (Strictly no overtime; unpaid holidays)


Position Summary


We are seeking a highly organized, proactive Onboarding Specialist to support the launch of newly contracted nursing homes and healthcare facility partners. Driven by recent business growth and high sales volume, this remote role serves as the main point of contact for nursing home staff during their onboarding phase.


In this position, you will balance outbound phone calls and email coordination to educate facility leaders, collect essential consent forms and financial data, and manage client profiles within Salesforce.

Key Responsibilities

• Facility Engagement & Outreach: Serve as the primary contact for newly contracted facilities. Drive active communication via phone (50%) and email (50%) with Business Office Managers and facility staff to guide them through onboarding steps and timelines.
• Document & Consent Collection: Gather, organize, and compile key onboarding documents, consent forms, and financial details to launch specialized healthcare and policy products.
• Database & Spreadsheet Management: Maintain accurate records within Salesforce, Microsoft Excel, and internal tracking databases. Ensure high accuracy when processing patient and facility information.
• Pipeline & Case Management: Manage an active caseload (~20 policy campaign cases and 5-6 fee-for-service cases once fully trained) targeting a 7-14 day case resolution turnaround time (30 days maximum).
• Cross-Functional Coordination: Collaborate with internal team leads and management to resolve onboarding bottlenecks and submit campaign materials within established timeframes.

Required Skills & Qualifications

• Education: High School Diploma or equivalent required (Associate degree preferred) .
• Healthcare Admin Experience: 1-3 years of healthcare administrative background (e.g., patient scheduling, insurance verification, care coordination, prior authorization, or clinical admin).
• Outbound Calling Experience: 1+ years of experience making frequent outbound calls; must be genuinely comfortable and effective on the phone.
• Computer Proficiency: Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook).
• Workspace Requirements: A quiet, dedicated home office equipped with a desk and chair, alongside a stable high-speed internet connection (internet speed test required prior to placement) .

Preferred Qualifications

• 1-2 years of hands-on experience using Salesforce or a similar CRM system.
• Background working directly with nursing homes, long-term care facilities, or healthcare clinics.
