Supervisory Medical Support Assistant

Summary This Supervisory Medical Support Assistant position is in the Health Administration (MAS) service line at VA Maine Health Care System located at the Augusta, ME location Learn more about this agency Duties Help Total Rewards of a Allied Health Professional This position serves as a Supervisor for Medical Support Assistants at the VA Maine Medical Center. The position is responsible for planning, directing, and controlling work for the lower grade Medical Support Assistants. Work is performed collaboratively in an Interdisciplinary Coordinate Care delivery model (Patient Aligned Care Team, or Specialty Care Setting). Duties may include, but are not limited to:
- Set and adjust short-term priorities.
- Prepare schedules for work completion.
- Establishes work priorities.
- Identifies developmental training needs of employees,
- Provides or arranges for training,
- Reviews work produced
- Analyzes weekly reports to evaluate production and takes appropriate action.
- Conducts regular staff meetings with the medical support assistants.
- Attends required Section meetings and other meetings throughout the facility.
- Serves as point of contact for resolving patient issues especially regarding appointment and scheduling concerns.
- Maintains clerical guidelines and manuals.
- Preparation of material to be used in training new employees.
- Responsible for training auxiliary personnel such as temporary, work study, and volunteers used for intermittent heavy workload areas.
- Offers expert advice on administrative details and procedures Present findings to the Supervisor and respective Service Line designees for corrective action.
- Ensure subordinates serve as the initial point of contact.
- Performs work involving collection, compilation, and/or tracking of data and statistical information.
- This position is in the Excepted Service.
- This position is NOT a Bargaining Unit position.
- Travel and relocation expenses are not authorized.
- The incumbent may be required to travel to other VA campuses and CBOC's.
- Current and former Federal employees must submit copies of their most recent SF-50 (Notice of Personnel Action). The SF-50 must identify the position title, series, grade, step, tenure, and type of service (Competitive or Excepted). In some cases, more than one SF-50 may be required to show a higher grade previously held.
- This position is covered by a special rate.
- Selectee may be required to work at any VISN 1 Healthcare System campus, as needed.
- Narrative responses to the knowledge, skills and abilities (KSAs) may be required from the selectee in order to proceed with the appointment.

- Selective Service Registration is required for males born after 12/31/1959.
- Must be proficient in written and spoken English.

- Participation in the seasonal influenza vaccination program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP).

- Experience: None.
- Education: High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education.
- Licensure/Certification/Registration: None
- Foreign Education: To be creditable, education completed outside the U.S. must be deemed at least equivalent to that gained in a conventional U.S. program by a private organization specializing in the interpretation of foreign educational credentials.
- English Language Proficiency: Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. § 7403(f).
- Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed on a temporary or permanent basis until they fully meet the basic requirements of the standard.
- Employees retained in this occupation under this provision who subsequently leave the occupation lose protected status and must meet the full VA qualification standard requirements in effect at the time of re-entry to the occupation. NOTE: This provision is not intended to regularize appointments/ placements.
- Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
- Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
- Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations.
- Ability to provide briefings, orientations, staff development, and training in a patient support setting.
- Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
