Small Business Portfolio Management Specialist

Role Overview The Portfolio Management Specialist is responsible for providing administrative support to Retail Small Business leadership and relationship managers in the management of the Small Business loan portfolio. Functions include tracking, requesting, collecting, and imaging financial statements/information required from borrowers and adhering to required due dates, oversight and outreach on delinquency, managing maturing loans, submitting and facilitating modifications, assisting with portfolio transfers, generating, distributing and/or validating reports, pipeline monitoring and ensuring data integrity. This role partners with relationship managers, credit, operations and compliance to maintain portfolio quality and customer service standards. Responsibilities Track, request, collect, and image financial statements/information from borrowers. Ensure due dates are met and manage delinquency outreach. Manage maturing loans, submit and facilitate modifications, and assist with portfolio transfers. Generate, distribute, and/or validate reports and monitor the pipeline. Ensure data integrity across portfolio information. Essential Functions Ensure compliance with Northwest’s policies and procedures, and Federal/State regulations. Navigate Microsoft Office Software and department‑specific applications to maximize technology tools. Work as part of a team and with on‑site equipment. Track, request, and collect financial statements within defined timeframes. Conduct oversight and outreach on past‑due payments. Coordinate modifications as needed, including submission into LOS and facilitation through closing. Compile and communicate loan management reports on a timely basis. Run and reconcile portfolio reports (past due, upcoming maturities, financial statements) and accelerate items requiring attention. Assist in the management and maintenance of collateral requirements, including ensuring timely insurance policy updates. Provide prompt responses to client inquiries and resolve problems to promote an exceptional client experience. Support relationship managers to ensure portfolios are timely, accurate, and in conformity with loan terms or policy requirements. Maintain deep understanding of Abrigo and update data fields as required. Establish and maintain appropriate files and records for loan documents. Serve as a liaison with other departments, vendors, and auditors as needed. Act as office manager if required. Ensure document/data integrity, identify gaps or issues, and coordinate corrective actions with operations, credit, and other business partners. Leverage knowledge of loan documentation. Cultivate relationships with small business clients. Maximize available technology tools. Develop use of small business related software. Ensure conformity to loan terms. Recommend improvements to procedures and service delivery. Qualifications High School Diploma required. Bachelor’s Degree in Business, Finance or equivalent preferred. 3–5 years experience in business banking operations, processing, or administration preferred. 3–5 years experience with core banking/loan origination systems preferred. Detail oriented and team oriented with ability to monitor and manage multiple responsibilities simultaneously. Knowledge of computer systems and software including Abrigo, Nautilus, Signature and shared drives. Understanding of Small Business loan products. Compensation The pay range for this position is generally $26–$31 per hour.
