Oklahoma Contemporary Arts CenterJob DescriptionPosition Title: Membership and Development CoordinatorReports to: Director of DevelopmentSalary: $47,500Location: On-Site/In-PersonPosition SummaryThe Membership and Development Coordinator plays a central role in advancing Oklahoma Contemporary’s fundraising and engagement efforts by overseeing the arts center’s annual membership program and supporting the day-to-day operations of the Development Department. Reporting to the Director of Development, this on-site position manages the general membership portfolio, coordinates renewals and member communications, strengthens stewardship and engagement, and supports strategies designed to grow, retain, and deepen relationships with Oklahoma Contemporary’s membership community.The position also provides essential administrative, database, and gift-processing support for the Development Department, including gift entry and processing, donor acknowledgments, pledge tracking, constituent record maintenance, and other operational functions. Working closely with the Director of Development and Development Department colleagues, the Membership and Development Coordinator helps ensure that members and donors receive timely, accurate, and meaningful communication while maintaining the organized systems and processes necessary to support Oklahoma Contemporary’s broader fundraising goals.The ideal candidate is highly organized, detail-oriented, personable, and service-minded, with strong written and verbal communication skills and a genuine interest in building relationships with Oklahoma Contemporary’s members and supporters. The successful candidate will bring professionalism, initiative, sound judgment, and a collaborative approach to supporting both membership engagement and Development operations.ResponsibilitiesMembership Management & GrowthManage the day-to-day administration of Oklahoma Contemporary’s annual membership program, including monthly renewals, member communications, benefit fulfillment, stewardship, and ongoing engagement.Monitor current, upcoming, and lapsed memberships and conduct timely, thoughtful outreach to encourage renewals, strengthen retention, and identify opportunities for increased support.Support membership growth by cultivating prospective members and identifying opportunities to convert visitors, program participants, event attendees, and other constituents into annual supporters.Provide responsive, professional, and highly personalized service to current and prospective members, helping ensure a positive and meaningful experience at every stage of engagement.Track membership acquisition, retention, upgrades, renewals, and revenue, and provide regular updates and insights to the Director of Development.Collaborate with Communications, Visitor Experience, and other departments to promote membership and support member cultivation, stewardship, exhibition openings, special programs, and fundraising events.Database & Gift AdministrationMaintain accurate, timely, and complete donor and member records within the donor database, including constituent updates, mailing lists, queries, coding, and routine data maintenance.Process and track gifts, membership contributions, pledges, pledge payments, commitments, and in-kind contributions, and assist with reconciliation and coordination with the Finance Department as needed.Prepare and coordinate timely donor and member acknowledgments, invoices, commitment agreements, stewardship materials, tax documentation, and other correspondence.Maintain organized and accessible Development Department records, files, and supporting documentation in accordance with established procedures and best practices.Help ensure data integrity and consistency across Development systems, reports, and constituent records.Development Operations & Administrative SupportProvide day-to-day administrative and operational support for the Development Department, helping maintain organized systems, calendars, deadlines, workflows, and departmental priorities.Assist with donor and member mailings, invitations, sponsorship materials, meeting materials, prospect research, list management, fundraising reports, and other Development communications.Coordinate and support logistics for Development Committee meetings, donor and member cultivation opportunities, exhibition openings, stewardship activities, and fundraising events.Work collaboratively with the Development team and colleagues across the organization to support annual fundraising goals, donor engagement strategies, and institutional priorities.Assist with special projects and emerging Development initiatives as needed.Perform other duties and responsibilities as assigned in support of Oklahoma Contemporary’s fundraising goals, membership program, and broader organizational priorities.Performance ExpectationsThe Membership and Development Coordinator is expected to bring a highly organized, dependable, and service-oriented approach to their work. Success in this role will be measured by the accurate and timely administration of the membership program; consistent execution of renewals, acknowledgments, gift processing, and database maintenance; strong attention to detail and data integrity; responsive and professional communication with members and donors; effective management of recurring deadlines and departmental workflows; and meaningful contributions to membership growth, retention, stewardship, and broader Development Department priorities.The successful candidate will demonstrate initiative, follow-through, sound judgment, and a willingness to learn and adapt. They will work collaboratively across departments, maintain a high standard of professionalism and confidentiality, and make thoughtful use of available technology, including emerging AI tools, to improve organization, efficiency, communication, and departmental effectiveness.QualificationsBachelor’s degree preferred or equivalent professional experience.Interest in nonprofit development, membership, donor relations, administration, customer service, or a related field, with relevant professional, internship, volunteer, or academic experience preferred but not required.Excellent organizational skills and exceptional attention to detail, accuracy, and follow-through.Strong written and verbal communication skills with a personable, professional, and service-oriented approach.Ability to manage recurring processes, multiple priorities, and competing deadlines in a highly organized and dependable manner.Experience with CRM or donor database systems preferred; Blackbaud Altru experience is a plus.Proficiency with Microsoft Office, particularly Word and Excel.Familiarity with emerging artificial intelligence technologies and an interest in using AI tools thoughtfully and responsibly to support research, writing, organization, data management, and workflow efficiency.Comfort learning and adapting to new technologies, systems, and digital tools that can improve Development Department operations and constituent engagement.Comfort working with data, preparing correspondence, and maintaining accurate and organized records.Ability to handle donor, member, and financial information with discretion, sound judgment, and professionalism.Proactive and solutions-oriented, with a collaborative mindset, demonstrated initiative, and the ability to move projects forward independently.Ability to work effectively and professionally with donors, members, colleagues, and organizational leadership.Commitment to Oklahoma Contemporary’s mission and enthusiasm for contemporary art, arts education, and performance.Limitations and DisclaimerThe above job description is meant to describe the general nature and level of work being performed.
