Health Information Specialist - Addictions

ESSENTIAL JOB FUNCTIONS Meet and greet clients and visitors Answer multi‑line switchboard, forward calls to voicemail or appropriate staff member, take and deliver messages Check in clients, verify demographic information, collect and document payment, notify clinician when client arrives Reconcile cash drawer Schedule client appointments Copy, sort, and deliver mail; send and receive/deliver faxes Meet with clients to explain and assist in signing intake forms Handle difficult customer service interactions, face‑to‑face or by telephone Enter client data in electronic information system (client demographics, eligibility, service corrections) and other program‑specific data (e.g., grants) in various databases Provide medical‑records related support to Health Information Management staff as needed File and maintain correspondence, records, reports, and other documents related to site operations Perform administrative functions: type from various sources, data entry, generate requisitions for business cards, training registration fees, office furniture; take minutes of meetings Run miscellaneous monthly/quarterly reports, assess validity, engage in problem‑solving to correct inaccuracies, take action on results Coordinate site IT functions as needed Participate in daily deposit process, including deposit reconciliation Monitor office supplies inventory and order supplies as necessary Call prescriptions to pharmacy, coordinate lab appointments, process lab results Act as liaison with Properties department: submit work orders, communicate site needs Act as Infection Prevention Representative: monitor supplies, attend meetings, communicate infection prevention measures to staff The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Incumbents may be requested to perform job‑related tasks other than those specifically presented in this description. EDUCATION High School or GED required. Completion of up to 18 months of business school, beyond high school preferred. EXPERIENCE Three to four years of experience working in an office setting and performing various clerical or administrative tasks. Advanced knowledge of Microsoft Office Suite. Strong oral and written communication skills. PHYSICAL DEMANDS Position has no unusual physical demands; individual has discretion about walking, standing, etc. May occasionally require walking or standing, stooping, or bending. Position may require lifting up to 10 pounds. Occasional exposure to office chemicals or continual use of a video display terminal. POSITION TYPE Full time.
