Community Events Specialist

DEFINITION
The Community Events program manages the Town resources for annual celebrations and activities that enrich the quality of life for residents, promote community and enhance the local economy. Specialist will be responsible for the planning, organizing and implementing the Town’s community events program and working with independent contractors and outside organizations to execute events in the Town. This includes, but is not limited to: managing community event agreements and letters of agreement with partner organizations; drafting staff reports and delivering presentations to the Town Council; updating community events calendar; coordinating the creation of marketing collateral; scheduling and leading community event planning meetings; reviewing traffic management and safety plans; creating and updating event maps; writing traffic advisories and various articles. The Specialist is also expected to provide day of event support and collecting day of content in the form of photos and videos.SUPERVISION RECEIVED AND EXERCISED
Works under direct supervision of the Economic Development Supervisor.ESSENTIAL JOB DUTIES
Essential duties may include, but are not limited to the following: Work collaboratively with event organizers, public safety, and Town staff to plan for the safety and success of community events. Manage distribution of information to Police Services, Maintenance Services and Recreation, Arts and Community services as needed. Work with the communications team to ensure that community events are being promoted to the public across platforms and messaging strategies including the Live Locally newsletter, email subscriptions and social media. Provide logistical and operational support for community events, including event maps, encroachment permit, no parking signs, and on-site guidance. Attend and provide on-site assistance at community events, working flexible hours as needed. Curate photos and videos from community events for use in future marketing and/or event recap. Evaluate events before, during, and after to suggest improvements that will drive policy, procedure and increased community benefit. Cultivate partnerships with community organizations and businesses. Help manage small-scale business programs in conjunction with community events. Perform duties within OSHA standards and other duties as assigned.QUALIFICATIONS
Knowledge of: Correct English usage, spelling, grammar and punctuation. Knowledge of Associated Press Style strongly preferred. Event management and best practices across multiple venues and sizes of events. Modern office methods, procedures, organization and equipment including Office 365, Meta Business Suite, Canva, and website CMS. Photography, videography, and content collection. Ability to: Work independently, creatively, collaboratively, and efficiently with minimal supervision. Communicate effectively in both verbal and written form. Establish and maintain effective working relationships with fellow employees and the public. Develop project work plans and schedules; determine priorities to meet assigned deadlines. Capture action-oriented photos and videos of programs and events. Work a flexible schedule, including evenings and weekends, as needed.EXPERIENCE AND EDUCATION
Any combination of experience and education that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be: Experience A minimum of three (3) years of professional event or venue management, community engagement, project management, or hospitality management. Compensation within the salary range is dependent on experience, and candidates should expect to start within the lower half of the range. Education A Bachelor’s degree in communications, marketing, journalism, public administration, economic development, business, or a closely related field.LICENSE(S) AND CERTIFICATION(S)
Possession of a valid California State Driver's License, or license in another state with the ability to obtain a California license within 30 days of hire.FLSA DISCLAIMER
