Job Description

Job Title: Bookkeeper

Location: Downtown Chicago
Work Schedule: Onsite 2–3 days per week (onsite requirement expected to decrease over time)
Hours: Part-time (25 hours per week to start)

Required Experience

7+ years of bookkeeping experience
Minimum 1 year of law firm or attorney office bookkeeping experience (strongly preferred)
Experience managing IOLTA (Trust) Accounts (strongly preferred)
QuickBooks Online experience is mandatory

Key Responsibilities

Maintain day-to-day bookkeeping in QuickBooks Online with accurate recording of all financial transactions.
Reconcile operating accounts, IOLTA (trust) accounts, and credit card statements monthly.
Manage client trust (IOLTA) deposits, disbursements, and transfers while ensuring compliance with state bar trust accounting regulations.
Process accounts payable, issue vendor payments, and maintain vendor records.
Prepare and send client invoices, monitor accounts receivable, and follow up on outstanding payments.
Record client retainers, apply trust funds to invoices as authorized, and maintain accurate trust balances.
Assist with payroll preparation by maintaining employee records and coordinating with the payroll provider.
Prepare monthly financial reports, including Profit & Loss, Balance Sheet, Cash Flow, and Trust Account Reconciliations.
Maintain organized financial records and supporting documentation for audits, tax preparation, and attorney review.
Collaborate with attorneys and office staff to ensure accurate financial reporting and compliance with legal accounting and IOLTA requirements.
