Job Summary
The Group Respite Volunteer Coordinator will manage all aspects of the Tennessee Caregiver Coalition’s Group Respite Volunteer Program, which provides planned, high-quality respite events for children with disabilities and their siblings, as well as for older adults. This role will oversee program design, event planning and logistics, volunteer recruitment and training, and coordination with facility partners. The Coordinator will ensure each event delivers safe, engaging, and meaningful respite experiences for care recipients while providing caregivers with reliable breaks. The position requires strong organizational skills, the ability to build community partnerships, and regular statewide travel to support program implementation.
This is a hybrid position based in the Nashville office. During the first three months of employment, the position requires full-time, in-office work (40 hours per week) as part of an initial probationary and onboarding period. Upon successful completion of this three-month probationary period, the employee will be eligible to transition to a hybrid schedule, with a required minimum of three in-office days per week, and additional in-office time or travel as needed.
The position requires reliable transportation for travel to visit volunteers, caregivers, and partner sites.
This position includes a six-month probationary assessment period, with a performance review at 90 days and a final review at the six-month mark to assess progress, long-term fit, and success in the role. Continuation in the role is contingent upon meeting established performance standards.

Work Schedule Requirements
- Must work at least two Saturdays per month to facilitate volunteer group respite events; the following Monday will be a scheduled day off.
- Must be available to work up to five evenings per month to provide volunteer trainings, accommodate volunteer schedules, facilitate group respite events, and lead caregiver support groups.

Program Planning & Implementation
- Coordinate the planning, scheduling, and execution of monthly volunteer group respite events for children with disabilities and their siblings, as well as for older adults.
- Design event activities that are age-appropriate, inclusive, and engaging, with an emphasis on one-to-one volunteer matching for all participants.
- Manage program logistics, including securing venues, coordinating set-up and clean-up, and ensuring necessary supplies and equipment are on-site.
- Partner with local churches, community centers, and other facilities to host events at no cost to the organization.
Volunteer Recruitment, Training & Retention
- Recruit and screen volunteers statewide, prioritizing diverse and inclusive representation.
- Ensure volunteers complete required background checks and training prior to participation.
- Collaborate with the Training and Technology Coordinator to facilitate volunteer training through the Talent LMS platform and provide in-person orientation as needed.
- Maintain ongoing contact with volunteers to encourage continued engagement and recognize contributions.
Caregiver & Participant Engagement
- Communicate regularly with caregivers to confirm attendance, collect participant information, and address individual needs.
- Ensure all program activities are delivered in a safe, person-centered, and culturally competent manner.
- Collect caregiver feedback after each event to evaluate satisfaction and identify areas for improvement.
Collaboration & Outreach
- Build and maintain relationships with community organizations, advocacy groups, and service providers to promote the Volunteer Group Respite Program.
- Coordinate with facility partners to secure venues and align schedules.
- Represent TCC at community events, meetings, and outreach activities to recruit both volunteers and participants.
Program Monitoring & Reporting
- Track attendance, volunteer hours, and participant demographics for each event.
Maintain accurate program records, including incident reports and satisfaction survey results. - Assist the President and CEO with reporting program outcomes to funders, partners, and stakeholders.
Program Administration & Compliance
- Track and maintain accurate data for all programs, ensuring:
- 100% of volunteer, caregiver, and provider participation data is entered within 24 hours of events or interactions.
- Volunteer, provider, and program reports are submitted with 100% accuracy.
- Provide regular program updates for board reporting by:
- Submitting 2–4 bullet points monthly that highlight program outcomes, wins, and activities
- Ensuring updates are written in the third person and submitted by noon on the second Monday of each month
- Maintaining a 100% on-time submission rate for monthly updates
- Facilitate surveys of volunteers, caregivers, and providers twice per year, ensuring:
- Surveys are administered on schedule.
- Survey data is compiled and submitted to the Programs and Development Director within two weeks of collection.
- Assist in organizing one large Caregiver Appreciation event in November, securing at least five sponsors/partners for event support.
Community Outreach & Awareness
- Conduct at least 12 presentations per year to raise awareness of TCC services and recruit volunteers.
- Represent TCC at at least six community events per year to network and build relationships with partner organizations.

Probationary Period & Performance Reviews
This position includes a six-month probationary period, with:
- 90-day performance review to assess progress and identify areas for support.
- Six-month final review to evaluate long-term fit and success in the role.
- Continuation beyond the probationary period is contingent on meeting the above performance expectations.
Qualifications
Required:
- Minimum 2 years of experience in program coordination, volunteer management, or event planning.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Experience working with children, older adults, and individuals with disabilities.
- Ability to travel statewide and work occasional evenings or weekends.
Preferred:
- Experience in respite services, caregiving, or disability/aging programs.
- Knowledge of volunteer recruitment strategies and retention practices.
- Familiarity with learning management systems (LMS) and virtual training platforms.
- CPR/First Aid certification or willingness to obtain prior to starting the role.
