We also operate the Ronald McDonald Care Mobile® program, providing medical care to children in underserved areas. Ronald McDonald House Chicagoland & Northwest Indiana is an independent not-for-profit 501(c)(3) organization.
The Human Resources Manager plays an important role in supporting Ronald McDonald House Chicagoland & Northwest Indiana's mission by ensuring consistent, effective, and compliant execution of the organization's day-to-day People Operations. Reporting to the Chief People Officer, this position is responsible for the administration and execution of core People processes and programs throughout the employee lifecycle. As one of two People professionals supporting the organization, the Manager works across multiple areas of Human Resources, with a primary focus on operational excellence, consistency, timely follow-through, accurate documentation, and compliance. The Manager provides day-to-day support to employees and managers and administers People programs and processes in areas including employee relations, leave administration, performance management, policy administration, talent acquisition and onboarding, benefits and compensation administration, employee engagement, compliance, and People systems. The position works closely with the Chief People Officer to implement departmental priorities, identify opportunities for improvement, and ensure People practices are consistently and effectively carried out across the organization. Essential Job Functions People Operations & Compliance- Manages the day-to-day execution of People Operations processes and programs, ensuring work is completed accurately, consistently, timely, and in accordance with organizational policies and applicable employment laws.
- Administers employee lifecycle processes, including onboarding, employee changes, benefits, leaves of absence, performance processes, and offboarding.
- Maintains accurate and confidential employee records and ensures appropriate documentation of employment-related actions and decisions.
- Administers and coordinates FMLA, ADA accommodations, workers' compensation, unemployment, wage and hour requirements, and other employment-related processes, working in partnership with the Chief People Officer and escalating complex or high-risk matters as appropriate.
- Coordinates required reporting, audits, regulatory filings, and other compliance activities.
- Maintains standard operating procedures, tools, and documentation to support consistent People practices across the organization.
- Monitors People Operations processes and deadlines to ensure appropriate follow-through and completion.
- Identifies and implements improvements to processes, workflows, HR systems, and automation to improve efficiency, accuracy, consistency, and employee experience.
- Maintains current knowledge of applicable employment laws and People Operations practices and brings potential compliance issues or needed changes to the attention of the Chief People Officer.
- Provides day-to-day guidance and support to managers on employee relations, performance management, documentation, corrective action, conflict resolution, and other employee matters, consulting with or involving the Chief People Officer as appropriate.
- Works with managers and the Chief People Officer, as appropriate, to address performance concerns, including performance improvement plans, corrective actions, documentation, and difficult employee conversations, providing day-to-day coordination and follow-through.
- Conducts or supports workplace investigations as assigned, working with the Chief People Officer and other appropriate parties to ensure thorough documentation, appropriate follow-up, and consistent resolution.
- Responds to employee concerns as part of the People team and works collaboratively with managers and the Chief People Officer to support timely, fair, and consistent resolution.
- Supports consistent application of organizational policies, employment practices, and performance expectations.
- Tracks employee relations and performance matters to ensure appropriate follow-up and completion.
- Coordinates recruitment activities in partnership with hiring managers and the Chief People Officer, including job postings, candidate screening, interview coordination, selection processes, pre-employment activities, and other recruiting support.
- Coordinates and supports onboarding and orientation processes, working with hiring managers and other organizational partners to provide employees with a consistent and welcoming introduction to the organization.
- Evaluates recruitment and onboarding processes and identifies and recommends improvements that strengthen efficiency, consistency, and the candidate and employee experience.
- Coordinates and implements employee engagement, recognition, wellness, and retention initiatives in partnership with the Chief People Officer and other organizational partners.
- Serves as a day-to-day resource to employees regarding People programs, policies, benefits, and employment-related processes, consulting with or involving the Chief People Officer as appropriate.
- Coordinates and administers benefits programs in partnership with the Chief People Officer and external vendors, including employee enrollment, open enrollment, employee questions, and issue resolution.
- Supports compensation administration in partnership with the Chief People Officer, including job documentation and classifications, market data collection and analysis, development of salary recommendations, and implementation of approved compensation changes.
- Partners with the Chief People Officer in preparing for and executing annual People processes, including performance reviews, compensation reviews, and bonus calculations, as well as broader organizational initiatives.
- Coordinates assigned People projects or project components, managing timelines, communication, documentation, and follow-through in collaboration with the Chief People Officer and other organizational partners as appropriate.
- Supports the development and delivery of training, tools, and resources, in partnership with the Chief People Officer and other subject matter experts as appropriate, to help managers effectively carry out their people-management responsibilities.
- Maintains People systems and processes to support accurate employee information, payroll and benefits administration, reporting, and organizational decision-making.
- Administers payroll processes, ensuring employee changes and payroll-related information are accurately and timely entered, reviewing payroll for accuracy and completeness, resolving discrepancies and exceptions, and coordinating with managers, Finance, the Chief People Officer, and external partners as appropriate to ensure payroll is completed in accordance with established timelines and requirements.
- Produces and reviews People data and reports to identify trends, monitor processes, and support departmental and organizational priorities.
- Regularly evaluates People Operations processes for opportunities to improve efficiency, accuracy, consistency, and service, and recommends or implements improvements in coordination with the Chief People Officer and other partners as appropriate.
- Partners with internal departments and external vendors to resolve operational issues and support effective delivery of People programs and services.
- Participates in cross-functional projects requiring People Operations support and coordinates implementation of assigned People-related activities.
- Take ownership of assigned People Operations responsibilities and ensure work is carried through to completion, coordinating with other partners as appropriate.
- Manage multiple priorities while maintaining accuracy, responsiveness, and appropriate follow-up.
- Exercise sound judgment within established policies and practices, independently addressing matters within the scope of the role and recognizing when consultation with or escalation to the Chief People Officer is appropriate.
- Provide employees and managers with practical, timely, and consistent People Operations guidance and support, involving the Chief People Officer as appropriate.
- Maintain confidentiality and handle sensitive employee matters with professionalism, fairness, discretion, and appropriate consultation.
- Identify operational challenges and recommend practical solutions that improve consistency, efficiency, compliance, or the employee experience.
- Work independently and take accountability for assigned responsibilities while maintaining regular communication, collaboration, and coordination with the Chief People Officer.
- Build collaborative relationships across departments and contribute to a positive workplace that supports the organization's mission and values.
- Bachelor's degree in Human Resources, Business Administration, or a related field required.
- Five or more years of progressively responsible Human Resources or People Operations experience.
- Demonstrated experience in employee relations, leave administration, performance management, benefits, compliance, and day-to-day People Operations.
- Strong working knowledge of federal, state, and local employment laws and regulations.
- Experience with Human Resources Information Systems (HRIS) and People reporting; Paycom experience preferred.
- Strong judgment, communication, investigation, conflict resolution, organization, and relationship-building skills.
- Demonstrated ability to manage multiple priorities, maintain attention to detail, and consistently follow work through to completion.
- Ability to work independently within established policies and practices while recognizing when consultation or escalation is appropriate.
- Strong process improvement and project management skills with an emphasis on accuracy, consistency, efficiency, and service.
