Operations & Fulfillment Specialist

Mission Alignment 

At YM360, we exist to help youth pastors disciple students to love Jesus. The Operations & Fulfillment Specialist directly contributes to that mission by ensuring the right resources get into the hands of youth pastors accurately, quickly, and reliably, supporting their ministry without friction. 

Position Summary 

The Operations & Fulfillment Specialist is responsible for overseeing all outbound product fulfillment (pick, pack, and ship), managing inbound deliveries, maintaining accurate inventory, and leading YM360’s outbound mailing efforts. This role plays a critical part in both operational execution and physical distribution, ensuring that products, resources, and key communications reach customers and prospects accurately, on time, and with excellence. 

This person will operate within a shared warehouse environment while maintaining clear ownership of YM360’s fulfillment and inventory systems. The role is both hands-on and detail-driven, requiring a high level of organization, consistency, and ownership. The ideal candidate thrives in execution, takes pride in precision, and understands that great operations directly support ministry impact and customer experience. 

Core Responsibilities 

Outbound Fulfillment (Pick, Pack, Ship & Mailings) 

● Manage and execute all outbound fulfillment and shipping operations for GENERATE, Iron Hill Press, and YM360.com throughout the year 

● Accurately pick, pack, and ship customer orders in a timely manner 

● Ensure all shipments meet YM360 quality standards (accuracy, packaging, presentation) 

● Monitor shipping timelines and proactively address delays or issues 

● Maintain clean, organized, and efficient packing workflows 

● Oversee and execute all outbound letter mailings (statements, letters, etc.) 

● Maintain quality control and consistency across all mailed communications 

Inbound Receiving & Inventory Management 

● Receive, inspect, and process all inbound shipments and deliveries 

● Verify quantities and product condition against purchase orders 

● Organize and stock inventory in designated warehouse locations 

● Maintain accurate inventory counts across YM360 and third-party titles 

● Assist in regular inventory audits and reconciliation processes 

Fulfillment Area Operations & Organization 

● Maintain a clean, safe, and highly organized fulfillment and inventory workspace 

● Optimize fulfillment-specific layout and processes for efficiency and scalability 

● Identify and implement improvements to shipping and inventory systems 

● Manage and maintain all fulfillment and shipping supplies necessary for daily operations, including procurement of shipping materials and related resources 

Office & Operational Support 

● Assist with office-based operational tasks as assigned 

● Support cross-functional needs during peak seasons (events, launches, campaigns) 

● Contribute to a team-first culture by stepping in where needed 

● Manage and maintain all office supplies, including procurement as needed 

Cross-Functional Collaboration 

This role will work closely with: 

● Youth Pastor Success Team to ensure orders are fulfilled accurately and on time 

● Ecommerce/Marketing Team to support product launches and promotional campaigns 

● Operations Leadership to maintain inventory levels and operational efficiency 

● Events Team seasonally to coordinate warehouse logistics, organization, and projects 

Desired Skills & Experience 

● Experience in warehouse, shipping/receiving, or inventory management (preferred) 

● Strong attention to detail and commitment to accuracy 

● Ability to manage multiple tasks and prioritize effectively 

● Familiarity with Shipstation, Shopify (preferred) 

● Strong work ethic with a proactive, problem-solving mindset 

● Excellent communication and team collaboration skills 

Requirements 

● Alignment with YM360’s mission, vision, and core values, with an understanding of the needs of youth pastors and the local church 

● Maintain a personal relationship with Jesus Christ with a Christ-like attitude in dealing with people within and outside YM360. 

● Monday-Friday from our home office; 32 hours per week 

● Comfortable working in a warehouse environment that includes standing, lifting (up to 50 pounds), packing, organizing inventory, and moving shipments throughout the day

Director of Operations 

The responsibilities outlined above represent the core functions of this role. Additional tasks may be assigned as needed, with clear communication and expectations provided at every step.
