Pool Estimator

Position Summary

Galaxy Custom Pools is seeking a detail-oriented Pool Estimator to support the successful delivery of commercial, multifamily, and luxury residential pool projects. The Pool Estimator is responsible for reviewing construction documents, preparing accurate and competitive estimates, obtaining subcontractor and supplier pricing, managing bids, and supporting project buyout and turnover.

The successful candidate will be able to interpret plans and specifications, identify scope gaps and potential risks, develop well-supported cost assumptions, and coordinate with suppliers, subcontractors, project managers, and company leadership. This position requires strong analytical skills, construction knowledge, organization, follow-through, and the ability to manage multiple bids and deadlines simultaneously.

Key Responsibilities

• Review construction plans, specifications, addenda, geotechnical reports, and other bid documents to determine project scope and requirements.
• Perform detailed quantity takeoffs for materials, labor, equipment, subcontracted work, and other project costs.
• Prepare complete and accurate project estimates, including documented pricing assumptions, allowances, exclusions, clarifications, alternates, and potential risks.
• Submit material quantities and specifications to suppliers and subcontractors for pricing and follow up to ensure quotes are received before bid deadlines.
• Evaluate subcontractor and supplier proposals for completeness, accuracy, scope coverage, and compliance with the plans and specifications.
• Identify discrepancies, missing information, constructability concerns, scope gaps, and conflicts within the plans and specifications.
• Prepare and submit requests for information or clarification when bid documents do not clearly define the required scope.
• Develop bid drafts and proposals using current plans, specifications, historical cost information, standardized estimating data, and current market pricing.
• Coordinate and manage the bid process, including deadlines, document updates, addenda, subcontractor outreach, bid comparisons, and final proposal preparation.
• Maintain accurate and organized estimating files, bid documentation, cost information, subcontractor proposals, and supporting assumptions.
• Assist leadership with bid reviews, pricing decisions, value-engineering opportunities, and final proposal approvals.
• Conduct material, supplier, and subcontractor buyout following project award, including bid leveling, scope confirmation, pricing validation, and purchase recommendations.
• Assist with the preparation of project budgets, cost codes, subcontractor agreements, purchase orders, and schedules of values.
• Prepare a clear turnover package for the project management and construction teams, communicating the estimated scope, assumptions, exclusions, commitments, schedule considerations, and identified project risks.
• Collaborate with project management and field personnel to compare estimated costs with actual project performance.
• Participate in project budget reviews, post-project evaluations, and lessons-learned sessions to improve estimating accuracy and future project performance.
• Maintain and update historical cost data, supplier pricing, subcontractor information, production assumptions, and estimating templates.
• Develop and maintain positive working relationships with general contractors, owners, architects, engineers, suppliers, and subcontractors.
• Use Procore and other estimating or construction-management platforms to manage bid documents, pricing information, project records, and turnover documentation.
• Support continuous improvement of the company’s estimating, bidding, procurement, and project-startup processes.
