Event Design Coordinator

Job Description: Event Design Coordinator About the Role ZenGenius is looking for a creative, organized, and resourceful Event Design Coordinator to help bring our events and experiences to life. This role sits at the intersection of creative design, event production, sourcing, rentals, and execution. You’ll work alongside the ZenGenius team to help develop event concepts, source décor and materials, coordinate details, prepare for installations, and make sure the final experience feels thoughtful, cohesive, and distinctly ZenGenius. We’re looking for someone who can balance big-picture creative thinking with the details that make an event actually work. Someone who loves beautiful things, but also understands timelines, budgets, checklists, vendors, inventory, and the occasional “we need to figure this out right now.” What You’ll Do Event Design & Creative Support Support the development and execution of event concepts, themes, environments, and guest experiences Help create mood boards, design presentations, sourcing decks, floor plans, and other creative materials Assist with styling and visual merchandising of event spaces Support the creation of cohesive event environments from concept through execution Sourcing & Rentals Work with the ZenGenius rental collection to identify and pull appropriate pieces for events Coordinate rental pulls, returns, deliveries, and inventory needs Research and communicate with outside vendors and suppliers as needed Assist with obtaining quotes, comparing options, tracking costs, and staying within project budgets Help maintain sourcing lists, order details, timelines, and project documentation Event Production & Execution Support event preparation, installation, styling, and teardown Coordinate project details leading up to event day Create and maintain event checklists, schedules, packing lists, and production documents Assist with coordinating vendors, deliveries, rentals, and installation teams Be hands-on during event setups and teardowns Troubleshoot on-site issues with a calm, solutions-oriented approach Ensure design details are executed accurately and the finished environment meets the intended creative vision Client & Team Support Support the Events team with day-to-day project communication and coordination Help prepare client presentations, proposals, estimates, and project updates Communicate clearly with internal teams, vendors, freelancers, and clients Keep projects organized and help ensure deadlines and deliverables stay on track Anticipate project needs and communicate potential issues before they become problems Represent ZenGenius with professionalism, creativity, and a collaborative spirit What We’re Looking For 2+ years of experience in event design coordination, event production, or a related field Strong visual eye and an understanding of color, composition, scale, proportion, and styling Highly organized with strong attention to detail Comfortable managing multiple projects, priorities, and deadlines Creative thinker who can also execute the details Comfortable with sourcing, researching, and working with vendors Strong communication and interpersonal skills Proficient with tools such as Canva, Adobe Creative Suite, Google Workspace, PowerPoint, or similar creative/project management platforms Ability to work independently while also being a strong team player Flexible, resourceful, and comfortable when plans change Positive attitude and willingness to jump in wherever needed Ability to drive a cargo van and a box truck, a plus+ Physical & Schedule Requirements This role may require: Standing, walking, bending, reaching, lifting, and carrying during event setup and breakdown (up to 50 lbs.)
