Job Description 

The Accounting Assistant supports the day‐to‐day accounting operations at Creative Liquid Coatings, Inc. by performing transactional accounting activities with a primary focus on Accounts Payable and Accounts Receivable. This role ensures accurate processing of invoices, customer payments, and accounting records in a manufacturing environment while supporting internal controls, month‐end close activities, and audit readiness. The position works closely with the  Treasury Manager and cross‐functional teams to support accurate financial reporting and timely processing. 

Roles and Responsibilities 
Accounts Receivable Support 

• Prepare and issue customer invoices in accordance with company policies. 
• Distribute customer statements monthly or as requested. 
• Receive, scan, and post customer payments including checks, ACH, and electronic payments. 
• Prepare deposit documentation and assist with bank deposits as required. 
• Assist with monitoring Accounts Receivable aging and follow‐up on past‐due balances as directed. 
• Process approved RMA‐related credits and billing adjustments. 
• Maintain accurate AR records and supporting documentation. 

Accounts Payable Support 

• Match invoices to purchase orders and receiving documents. 
• Enter and process vendor invoices in the ERP system. 
• Assist with weekly check runs, ACH payments, and expense reimbursements. 
• Review vendor statements to identify missing or unprocessed invoices. 
• Organize and maintain electronic filing of AP documentation. 
• Support year‐end 1099 preparation and reporting. 

General Accounting & Administrative Support 

• Reconcile assigned general ledger accounts under supervision. 
• Assist with month‐end close activities including reconciliations and reporting support. 
• Provide documentation and assistance during internal and external audits. 
• Maintain confidentiality of financial, customer, vendor, and payroll information. 
• Provide backup support to payroll processing as needed. 
• Perform other accounting and administrative duties as assigned by the Treasury Manager. 

Skill and Education Requirements 

• High School Diploma or GED required. 
• Associate degree in Accounting, Finance, or Business preferred. 
• 1–3 years of experience in Accounts Payable, Accounts Receivable, or general accounting preferred. 
• Manufacturing or ERP‐based accounting experience preferred. 
• Proficiency in Microsoft Office (Excel, Word, Outlook). 
• Strong attention to detail and organizational skills. 
• Basic understanding of accounting principles and internal controls. 
• Ability to manage multiple tasks and meet deadlines. 
• Strong written and verbal communication skills. 
• Ability to interact professionally with internal teams, customers, vendors, and auditors. 

Work Environment 

• Work is performed primarily in an office environment within a manufacturing facility. 
• Limited exposure to plant floor areas; PPE required if entering production areas. 
• Standard work schedule is typically eight (8) hours per day, five (5) days per week. 
• Physical demands limited to standard office work.

Authority 

• Authority to process AP and AR transactions within established policies and procedures. 
• Authority to communicate with customers and vendors regarding routine invoice and payment matters. 
• Authority to request documentation to resolve transaction discrepancies. 
• Authority to escalate unresolved issues or discrepancies to the Treasury Manager. 
• Authority to recommend improvements to transactional accounting processes.
