Pay: $65,000 - $75,000

Job Summary:

The Coordinator provides administrative and operational support to the People Relations team in a fast paced, unionized hospital environment. This role supports ( labor Relations) and employment functions, coordinates meetings and trainings, manages sensitive personnel information, and ensures timely, accurate processing of employment data. (Labor Relations) The Coordinator serves as a key point of contact for team members, managers, and union representatives, requiring professionalism, discretion, and strong organizational skills.

Responsibilities:

• People Relations Support
  
  • Schedule meetings related to labor and employment matters, including grievance hearings, investigatory meetings, disciplinary conferences, and labor-management sessions.
  • Assist in gathering and organizing documents for union information requests in coordination with People Relations.
  • Distribute union job postings and required notices to the appropriate union representatives in a timely manner.
  • Maintain calendars, deadlines, and follow-up tasks related to labor relations activities.
• Administrative & Operational Support
  
  • Answer and route phone calls, emails, provide general support, and respond to routine inquiries from staff and managers.
  • Manage room reservations for People Relations related meetings, trainings, and events.
  • Maintain organized electronic and physical filing systems, ensuring compliance with confidentiality and retention standards.
  • Support onboarding and offboarding, and other workflows as needed.
  • Includes responsibilities for processing accounts payable requisitions for vendor payments.
  • Intake and track People Relations issues
• Data Entry & HR Systems
  
  • Enter, update, and audit employee information in UKG Pro or similar HRIS platforms.
  • Generate reports, track data, and support compliance-related documentation.
  • Maintain accuracy and integrity of personnel records and other databases.
• Training & Compliance
  
  • Schedule and coordinate employee trainings, including compliance, regulatory, and department-specific sessions.
  • Track attendance, maintain training logs, and follow up with departments to ensure completion.
  • Assist with compliance-related tasks, including policy distribution, credential tracking, required legal postings, and regulatory documentation.
• Confidential Personnel Support
  
  • Handle sensitive employee information with discretion and in accordance with HIPAA, hospital policy, and labor regulations.
  • Support staff with preparation of letters, notices, and confidential correspondence.

Requirements:

• Bachelor’s degree or some college preferred.
• Experience in a hospital, healthcare, or unionized environment preferred.
• Proficiency with UKG Pro or similar HRIS systems.
• Strong working knowledge of Google Workspace (Gmail, Google Calendar, Drive) and Microsoft Excel.
• Excellent organizational skills with the ability to manage multiple priorities and deadlines.
• Strong written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive information appropriately.
• Familiarity with labor regulations, compliance requirements, and HR best practices is a plus.
• Customer-service mindset with the ability to interact professionally with staff at all levels.

Work Environment

• Fast-paced hospital setting with frequent interaction with employees, managers, and union representatives.
• Requires attention to detail, adaptability, and the ability to manage competing priorities.
• This is an onsite position, located primarily in the Garden City Office. The role may require traveling to other locations within the Health System located in Far Rockaway.
