Location: Franklinville, NJ
Employment Type: Full-Time
Schedule: Monday–Friday | 7:30 AM – 4:00 PM with flexibility required during peak hiring periods
The Opportunity
We are seeking a highly organized, detail-oriented, and proactive Onboarding Specialist to join our Human Resources and Talent Acquisition team. This position plays a critical role in ensuring employees move efficiently from recruitment into active employment by managing onboarding, compliance, documentation, communication, and workforce mobilization activities.
This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and can balance multiple priorities while maintaining accuracy and professionalism.
Core Responsibilities
Employee Onboarding & Workforce Mobilization
- Manage the onboarding process from offer acceptance through employee mobilization and first-day readiness
- Coordinate onboarding activities including paperwork completion, orientation scheduling, employee communication, safety requirements, and onboarding completion tracking
- Guide employees through onboarding systems and provide support throughout the hiring process
- Track onboarding progress and proactively follow up on incomplete items to minimize delays and ensure timely mobilization
- Ensure employees are properly prepared prior to arrival onsite by verifying documentation, communication, and compliance requirements
- Coordinate onboarding timelines to support project staffing needs, workforce demands, and urgent hiring requirements
- Schedule orientations, drug screens, training courses, and onboarding appointments as needed
- Support workforce mobilization efforts while maintaining a positive and professional onboarding experience
Documentation & Compliance
- Process new hire paperwork and ensure documentation accuracy and completeness
- Maintain employee files and records while ensuring confidentiality and data integrity
- Verify onboarding compliance requirements including employment eligibility documentation, certifications, training requirements, customer requirements, and site-specific onboarding requirements
- Monitor onboarding completion to ensure employees meet internal and customer requirements prior to mobilization
- Maintain compliance documentation and onboarding tracking systems
- Ensure onboarding procedures are consistently followed while supporting company policies and processes
Systems Management & Administrative Support
- Enter and maintain employee information within Paycom and internal employee folders/profiles
- Support onboarding workflows through systems such as Paycom and Monday.com
- Assist with payroll-related onboarding functions and general HR administrative responsibilities
- Maintain organized digital and physical employee records
- Assist with onboarding reporting, workforce tracking, and process improvement initiatives
- Support process improvements that increase onboarding speed, efficiency, accuracy, and employee experience
Communication & Coordination
- Serve as a primary point of contact for onboarding employees throughout the hiring process
- Coordinate with Talent Acquisition, Human Resources, Payroll, and Field Management to ensure successful onboarding and workforce readiness
- Communicate onboarding requirements clearly and professionally to employees at all levels
- Provide timely updates regarding employee onboarding status and workforce mobilization progress
- Identify opportunities to improve onboarding efficiency and overall employee experience
Required Qualifications
- Strong organizational skills with exceptional attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- Excellent written and verbal communication skills
- Strong computer proficiency and comfort learning new systems
- Ability to professionally handle confidential information
- Ability to work independently while maintaining strong team collaboration
- Ability to multitask and manage multiple onboarding workflows simultaneously
- Strong problem-solving skills with the ability to work through onboarding obstacles and changing priorities
Preferred Qualifications
- Previous onboarding, recruiting coordination, HR administration, or employee onboarding experience
- Experience supporting high-volume hiring environments
- Experience processing employee documentation and onboarding workflows
- Previous experience using Paycom
- Previous experience using Monday.com
- Experience supporting workforce mobilizations, project staffing efforts, or onboarding coordination
- Experience coordinating onboarding for large employee groups or multiple simultaneous hires
- Bilingual abilities (English/Spanish) are a plus, but not required

- Employee documentation remains accurate and compliant
- Strong communication exists between HR, recruiting, operations, payroll, safety, and field teams
- Employees have a positive onboarding experience from offer acceptance through first day onsite
- Projects receive manpower support quickly and efficiently
Compensation & Benefits
Salary: $50,000 Annually
