Compensation: $20-22 /HR

Express Employment Professionals is recruiting for a Project Administrator to provide administrative and project support to office staff and project teams. The Project Administrator will manage general office functions and assist with project coordination, document management, billing support, and other administrative duties to ensure efficient operations.

The Project Administrator will support daily office activities, maintain project records, coordinate meetings and project logistics, and assist with document preparation and invoicing. This role requires strong organizational skills, attention to detail, and the ability to work independently while supporting multiple priorities.

• Perform data entry, document scanning, filing, proofreading, word processing, formatting, printing, and preparation of final documents.

• Support project staff with project logistics, including coordinating meetings, reserving conference rooms, scheduling conference calls, and arranging project-related activities.

• Assist with project setup and maintenance of project records, including subcontractor documentation, insurance records, vehicle logs, health and safety approvals, and certificates.

• Plan and accomplish tasks in a timely manner while managing multiple priorities.

• Communicate with billing specialists to assist in preparing monthly client and vendor invoices.

• Maintain office supplies and support general office administration functions.

• Track and assist with office and vehicle maintenance schedules as needed.

• Answer phones, receive deliveries, and provide general administrative support.

• Perform additional duties as assigned, with responsibilities potentially expanding based on organizational needs and employee capabilities.

• High school diploma or equivalent.

• 3 to 5 years of relevant administrative experience.

• Exceptional written and verbal communication skills.

• Strong attention to detail, including proofreading and editing skills.

• Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.

• Experience using Adobe Acrobat and internet-based applications.

• Positive attitude with strong interpersonal and customer service skills.

• Excellent organizational and prioritization abilities.

• Dependable, self-motivated, and able to work independently.

• Ability to work effectively within a team environment.

• Associate degree or higher.

• Experience in construction, engineering, environmental consulting, or related industries.

• Office administration experience in a professional services environment.

• Primarily sedentary position involving extended periods of sitting and computer work.

• Frequent use of a computer for data entry, document preparation, communication, and project coordination.

• Occasional standing, walking, reaching, bending, and lifting.

• Ability to lift and carry office materials weighing up to 20 pounds.

• Office-based position requiring regular in-person attendance.

• Professional office setting with frequent interaction among staff, clients, and vendors.

• Part-time position, Monday through Friday, approximately 32 hours per week.

• Occasional additional hours may be required based on business or project needs.
