POSITION SUMMARY: The Service Inventory Coordinator is responsible for managing fleet parts inventory, coordinating parts procurement, maintaining inventory accuracy, supporting fleet maintenance operations, and ensuring timely availability of parts and materials required for vehicle and equipment repairs. This position serves as a key link between technicians, vendors, and fleet leadership to maximize shop efficiency and equipment uptime.

• Manage inventory levels for fleet parts, tools, supplies, and consumables.

• Order, receive, inspect, and stock parts for vehicles, equipment, and shop operations.

• Maintain accurate inventory records in the fleet maintenance management system.

• Research part availability, pricing, and lead times from vendors and suppliers.

• Create and process purchase orders for parts and related maintenance materials.

• Coordinate parts returns, warranty claims, and vendor credits.

• Reconcile packing slips, invoices, and purchase orders.

• Monitor inventory usage and recommend minimum and maximum stocking levels.

• Conduct routine inventory counts and annual physical inventories.

• Ensure the parts room and inventory storage areas remain organized, clean, and secure.

• Enter parts, labor, and maintenance data into the fleet management software system.

• Assist with tracking preventative maintenance schedules and vehicle inspection reports.

• Coordinate warranty repairs and outside vendor service appointments.

• Assist with parts and equipment pickup or delivery as needed.

• Maintain vendor relationships and assist in negotiating pricing and service agreements.

• Support technicians and fleet personnel by ensuring timely availability of required parts.

• Generate inventory, purchasing, and maintenance reports as requested.

• Perform other duties as assigned.

Competencies

• Strong organizational and inventory management skills.

• High attention to detail and accuracy.

• Proficiency with Microsoft Office applications, particularly Excel.

• Experience using fleet maintenance or inventory management software.

• Knowledge of vehicle and heavy equipment parts and components.

• Ability to prioritize multiple tasks in a fast-paced environment.

• Strong verbal and written communication skills.

• Effective problem-solving and decision-making abilities.

• Strong customer service orientation.

• Ability to work independently and as part of a team.

Education

• High School Diploma or GED required.

• Minimum of 2-5 years of experience in fleet maintenance, parts management, inventory control, or a related field.

Position offers competitive pay, benefits, paid vacation, and health/dental insurance.

Full-time: $23 -  $28 per hour, based on experience and qualifications.
