This role ensures timely ordering, accurate record-keeping, and compliance with budget and purchasing guidelines while collaborating with staff and vendors. Position Overview The Purchasing Coordinator is responsible for managing and coordinating all purchasing activities for the school, ensuring compliance with Texas Education Agency regulations, state and federal procurement laws, and charter school policies. This role supports the instructional and operational needs of the campus by securing goods and services in a timely, cost-effective, and transparent manner. Primary Responsibilities Manage the full purchasing cycle, including requisitions, purchase orders, contracts, and vendor payments. Ensure compliance with Texas Education Code, Texas Administrative Code, federal grant requirements, and internal purchasing policies. Solicit, review, and evaluate quotes, bids, and proposals according to state thresholds. Maintain accurate vendor files and approved vendor lists. Monitor expenditures against budgets and prepare purchasing activity reports as needed. Partner with principals, department heads, and staff to identify purchasing needs and timelines. Coordinate and document competitive procurement processes (RFPs, RFQs, cooperative agreements). Assist with contract management and renewals to ensure compliance with terms and deadlines. Resolve discrepancies involving orders, deliveries, and invoices. Provide complete purchasing records and documentation for financial audits. Perform additional duties as assigned to support business operations. Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree in business administration, finance, or related field preferred. Minimum 2 years of purchasing, procurement, or finance experience (experience in a Texas school district or charter school preferred). Professional Requirements Familiarity with Texas public‑school purchasing regulations, including TEC, TAC, and federal guidelines. Knowledge of competitive procurement practices and cooperative purchasing systems (e.g., BuyBoard, TIPS, TASB). Strong organizational and time‑management skills with attention to detail. Proficiency with Microsoft Office Suite, Google Workspace, and financial management or purchasing software. Ability to maintain accurate records, meet deadlines, and collaborate effectively with leadership, staff, vendors, and auditors. Strong interpersonal, written, and verbal communication skills.
