Clinical Intake Specialist

Overview PromptCare is looking for a Clinical Intake Specialist to join our compassionate healthcare team. This is a full‑time (40 hours per week) position based in Madisonville, LA, with a Monday‑Friday schedule starting at 8:30 am. Responsibilities Manage phone calls from agency partners for scheduling, rescheduling, and related agency activities. Coordinate nursing contracts and authorizations when needed. Collaborate with document management teams to obtain agency clinical documentation. Triage incoming agency calls for field nurses and relay information to appropriate care team members. Serve as communication liaison between pharmacy and nursing as appropriate. Identify and screen nursing agencies. Complete occurrence reports as applicable. Provide care team members with feedback on assigned patients and suggest changes in procedure/protocols. Answer phone calls, emails, and work in a variety of communication apps and electronic medical records to provide clear documentation and coordination of services. Communicate with patients to coordinate delivery and nursing services. Schedule appointments for patient visits with nursing personnel and agencies as needed. Liaise and coordinate with nursing and pharmacy staff about schedules, patients, and any changes. Input clinician visits and update visit logs for new starts and adjusted schedules. Resolve scheduling conflicts as they occur. Attend staff meetings, teleconferences, and patient‑care conferences as needed. Understand and follow PromptCare’s employee policies and procedures. Perform other duties as assigned and be able to work longer than normal hours with little or no notice, as needed. Qualifications High school diploma or GED; Bachelor’s degree preferred. Previous experience working with insurance companies and healthcare professionals (physicians, nurses, etc.) is preferred. Experience with specialty pharmacy patient admissions and customer service in a similar referral source–based practice setting is strongly preferred. IVIG case‑management experience preferred. Strong PC skills, especially the MS Office suite; experience with the pharmacy order processing system CPR+ is a major advantage (training will be provided). Physical Demands The employee is regularly required to talk and listen, occasionally walk, bend or stand, and occasionally open filing cabinets, lift office products and supplies of a minimum of 25 pounds.
