Overview

The general role of the Project Coordinator – Electronic Security and Safety (ESS) is to coordinate services and support for electronic security and safety projects and installations. This position will manage supply chain procurement, shipping, and receiving to ensure that equipment and materials are readily available for successful project completion. This position must be available after-hours to answer calls from customers, field personnel, and Management.

This individual must have a thorough understanding of the current needs of the Electronic Security and Safety Department and must be proficient with the products and service equipment required to be an industry leader.

This individual must possess a general understanding of all aspects of Electronic Security and Safety services and projects. The Project Coordinator provides administrative, customer, and logistic support. The position is mostly office oriented but must be able to work a flexible schedule that may include travel, weekends, and extended hours.

The Project Coordinator will report to the Department Manager and will work primarily out of the Morgantown location.

Responsibilities

• Schedule ESS service work, projects, maintenance, installations, etc. by balancing customer needs with product and labor availability
• Monitor and adjust project schedules as assigned
• Communicate personnel, equipment, and supply needs to management
• Maintain and organize the ordering, tracking, and receipt of inventory and material purchases
• Create drawings and sketches for installation
• Prepare and assist with project estimates and job quotes for customers
• Develop and assign work orders and job numbers as needed
• Review and complete work in progress (WIP) reports
• Coordinate and review the billing processes with accounting
• Coordinate with other divisions on ESS projects
• Assist project team and managers in strategic meetings, follow up, meeting notes, and action plans
• Support new business development and customer service by being available and responsive to internal and external customers and for new business inquiries
• Respond to, communicate, and help manage customer service needs to include things that arise after hours
• Provide support to ensure jobs are timely, on-budget, meet code requirements, quality control standards, and customer needs
• Perform job site walks to gather information for bidding, project close outs, etc.
• Coordinate with inspectors and other trades as needed
• Provide paperwork and documentation for accurate record keeping, billing, and inventory
• Maintain and track company tools, equipment, and vehicles for the department
• Assist in scheduling crew member training and maintain department training records
• Follow proper safety and incident reporting procedures
• Ensure proper communication to ESS management on all pertinent issues
• Maintain a basic understanding of employment laws and regulations and collaborate with Human Resources to maintain compliance

Qualifications

• 2+ years of relevant project coordination experience preferred
• 1+ years of experience with electronic security/access control/fire alarm systems
• High school diploma or equivalent
• Valid driver’s license required
• Able to organize and plan work tasks to meet company goals
• Possess the ability for critical thinking with exceptional problem-solving skills
• Experience reading blueprints desired
• Well-rounded experience in cameras, networking, access control, and configurations
• Ability to coordinate multiple projects
• Strong verbal and written communication skills with the ability to effectively and professionally communicate with co-workers and customers
• Must be dependable; trustworthy; and possess a positive and productive attitude
• Proficient with Software such as estimating software, Adobe PDF, Microsoft Suite such as Outlook, Word, and Excel, etc.
• Ability to aid in installation process
• Ability to be customer focused, work independently, and in a team environment

Working Conditions

• Walk / use hands to finger, handle or feel objects, tools or controls / reach with hands and arms / climb ladders and stairs / crawl / kneel
• Sit/stand for extended periods of time
• Lift and/or move up to 50 pounds
• Perform duties on-site and underground at industrial locations

Ability to independently lift objects up to 50 pounds
