Position Summary
The Operations Support Coordinator supports daily mitigation operations by coordinating resources, managing vendor relationships, maintaining communication with customers and insurance partners, and ensuring projects move efficiently from sale to completion.
This role works closely with Operations Managers,
Estimators, and Administrative teams to remove bottlenecks and maintain project momentum.
The ideal candidate is organized, proactive, detail-oriented, and calm under pressure.

Key Responsibilities
Operations & Project Coordination
Support daily operations across mitigation projects
Manage scheduling of sold projects and ensure timelines are maintained
Monitor job progress and communicate delays or issues to operations leadership
Assist operations team with documentation and workflow completion

Vendor & Resource Management
Order materials, equipment, and outside services as required
Coordinate and schedule asbestos testing and environmental services

Customer & Insurance Communication
Maintain professional communication with customers throughout project lifecycle
Coordinate adjuster approvals and document scope changes
Ensure customer questions are addressed promptly and professionally
Maintain accurate job documentation in company systems

Scheduling & Financial Coordination
Manage scheduling for sold projects and ensure readiness prior to start
Assist with payment collection milestones and documentation
Coordinate with accounting on invoicing and payment status
Help maintain smooth job flow from start through completion

Operational Support
Support Operations Managers in daily execution
Help maintain organization during high-volume periods and emergency response events
Identify operational inefficiencies and recommend improvements

Vendors and testing services are scheduled proactively
Operations teams spend less time chasing information and more time executing work
Jobs move smoothly from sale to completion

Qualifications
2+ years in operations coordination, project coordination, construction, restoration, or similar field preferred
Strong organizational and multitasking skills
Excellent written and verbal communication
Ability to prioritize in a fast-paced environment
Comfortable managing multiple projects simultaneously
Experience with scheduling software or job management systems preferred (Xactimate or restoration software a plus)
