Sales Coordinator

POSITION SUMMARY The Sales Coordinator owns the administrative backbone of Columbia River Plumbing's bid and sales pipeline, from lead tracking through bid folder creation, quote requests, and post-award follow-up. This role exists to remove administrative and coordination work from the estimating and sales function so that revenue-generating activity moves faster and nothing falls through the cracks. The Sales Coordinator works under tight deadlines in a fast-paced office environment, keeping bids, quotes, and follow-ups organized and on schedule. Success in this role means having bid folders ready within 24 hours, maintaining consistent lead follow-up, and following a structured sales process that keeps opportunities organized and moving forward. OBJECTIVES Create and organize bid folders within 24 hours of a lead or opportunity being assigned. Track and follow up on all active leads, completing required pre- and post-bid follow-up within a four-hour window centered on the 24-hour mark. Request and log material and vendor quotes accurately and on schedule to support estimating. Maintain the sale binder and bid folder process, so every active opportunity is easy to locate, and status is clear at a glance. Manage the close-out process for won bids, ensuring contracts and required documentation are complete and filed. Print and prepare plans and bid documents accurately and ahead of internal deadlines. Maintain organized digital and physical filing so leads, quotes, and contracts can be found without delay. Communicate proactively with the estimating team on bid status, missing information, and approaching deadlines. Support lead tracking and reporting to help drive an increase in bids submitted and leads converted. Protect Estimator and leadership time by fielding and filtering coordination tasks that don't require their direct involvement. Keep the shared workstation and files organized to prevent errors, delays, and safety hazards (e.g., tripping over binders/files). Escalate stalled or at‑risk bids before deadlines are missed, rather than after. Attention to Detail: Maintains accuracy and completeness across quotes, contracts, bid documentation, and other critical project information. Deadline Management: Performs effectively in a fast-paced environment and consistently meets tight, non‑negotiable deadlines. Technology Proficiency: Proficient in Microsoft Suite, including Excel and Outlook, and able to learn and adapt to new software and tools quickly. Professional Communication: Communicates clearly and professionally with vendors, clients, and internal team members through both written and verbal follow‑up. Self‑Direction & Judgment: Prioritizes and completes work independently without constant oversight while recognizing when an issue needs to be escalated. Productivity & Focus: Maintains consistent output and attention across a high volume of process‑driven tasks. Follow-Through & Accountability: Takes ownership of assigned tasks, closes the loop on outstanding items, and prevents follow-ups from going stale. Team Collaboration: Works effectively alongside estimating, sales, and field leadership to keep information flowing and priorities aligned. Resilience Under Pressure: Recovers quickly from setbacks, missed steps, or difficult conversations and remains focused on the next priority. EDUCATION & EXPERIENCE High school diploma or equivalent required; college coursework or a degree in business administration is a plus but not required. 1–2+ years of experience in a sales support, coordination, estimating support, or administrative role, ideally in construction, plumbing, or a related trade. Experience with bid processes, quote requests, or contract coordination is strongly preferred. Prior customer service experience is a plus. Demonstrated proficiency with Microsoft Suite (especially Excel) is required; familiarity with construction estimating or plan‑reading is a plus and can be developed on the job. Construction or plumbing industry knowledge is a strong plus, though not required at time of hire. PHYSICAL REQUIREMENTS This role is primarily office-based and requires the ability to sit or stand at a workstation and use a computer for extended periods. The position may occasionally require lifting and carrying materials such as bid binders, plan sets, or files (up to approximately 20 lbs). The Sales Coordinator should be able to move safely and efficiently through an office environment that includes shared workstations, filing areas, and printed plan storage.
