Hourly Program Coordinator (Front Desk) - Transitional Studies Department

The Transitional Studies unit supports students in areas including Adult Basic Education (ABE), English Language Learning (ELL), GED preparation, High School+, I-BEST, and Youth Reengagement programs. Many of our students are first-generation college students, English language learners, or individuals from historically underserved communities who are taking college-level classes or preparing for a career. Reporting to the Transitional Studies Program Manager, this Front Desk part-time position serves as a key point of contact for students, faculty, and staff while supporting the daily operations of the Transitional Studies office. This role combines customer service, program support, and administrative coordination to help ensure students receive timely and effective assistance. Key responsibilities include Serve as the primary point of contact for Transitional Studies by responding to student, faculty, staff, and community inquiries via phone, email, and in person; provide information, resolve problems when possible, and connect individuals with appropriate resources and staff. Communicate with students and staff regarding Basic Education for Adults (BEdA) and Transitional Studies programs, including applications, orientations, enrollments, program requirements, events, and other key information. Assist with student outreach, onboarding, engagement, and retention efforts to support student success across Transitional Studies programs. Coordinate, schedule, administer, and proctor Comprehensive Adult Student Assessment Systems (CASAS) testing in accordance with program and state requirements. Enter, review, maintain, and monitor accurate student records and data in LACES (Literacy, Adult and Community Education System) and other required state reporting systems. Support and continuously improve key operational processes, including application intake, applicant screening, orientations, enrollments, record management, and reporting activities. Develop, update, and distribute student and staff communications, resources, newsletters, and process documentation, ensuring accessibility for multilingual and diverse audiences. Maintain current knowledge of Transitional Studies programs, services, policies, procedures, and compliance requirements. Provide general administrative, operational, and office support for the Transitional Studies unit, including assisting with special projects and performing other duties as assigned. Education & Experience High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience Prior experience in customer service and/or customer-facing roles Experience with state/federal reporting systems preferred Knowledge of / Skills In Microsoft Office programs including Excel, Word, Access, Teams and PowerPoint Canvas or other Learning Management System Oral and written communication skills in English Live language interpreter services for student support (ex: LanguageLine) Strong customer service skills and ability to professionally interact with a diverse population of students, staff, faculty, and the public Contributing to equity and inclusion by fostering a climate of global competency and multicultural understanding Ability to establish and maintain effective working relationships at all organizational levels Strong organizational skills, time management, and ability to meet competing deadlines Ability to multitask in a fast-paced office environment Problem-solving skills and initiative in identifying and resolving issues proactively Ability to remain calm under pressure and effectively manage difficult interactions Accurately entering and retrieving data Ability to work independently and collaboratively as part of a team Using discretion in decision-making processes Physical Work Environment Ability to sit for prolonged period at a desk/computer workstation Ability to perform repetitive arm, hand, and finer movements Ability to read printed materials as well as on computer screens & tablets Open office setting with frequent in-person interactions and interruptions College offers both in-person and virtual services Terms of Employment / Salary This position is paid at a rate of $22.56/hour. Hourly employees serve in an at-will capacity, meaning either the employee or the College may end the employment relationship at any time, with or without cause.
