Position Summary

We're looking for a proactive and resourceful Sales Operations Assistant to join the Sales Department of our growing hotel group in Sarasota, Florida!
In this role, you'll work directly with the Director of Sales, helping coordinate sales activities, manage client communications, prepare proposals, and support the day-to-day operations that drive business growth. What You'll Do
Support Sales & Client Relationships

• Manage incoming inquiries, leads, and group booking requests, ensuring timely and professional follow-up.
• Contact clients and prospects by phone and email to follow up on opportunities, understand their needs, and maintain strong relationships.
• Assist with proposals, contracts, presentations, and responses to corporate and group inquiries.
• Build positive relationships with corporate clients, event planners, and business partners.

Coordinate Daily Sales Operations

• Maintain accurate and up-to-date CRM records, sales trackers, reports, and other documentation.
• Coordinate client meetings, property tours, appointments, and sales presentations.
• Support group reservations, room blocks, and event-related logistics.
• Manage calendars, track deadlines, and follow up on projects and outstanding tasks to keep sales activities on schedule.

Assist with Marketing & Reporting

• Create and update marketing materials, presentations, flyers, and email campaigns.
• Help monitor sales performance, track pipeline activity, and prepare reports.
• Identify opportunities to improve organization, communication, and day-to-day sales processes.

Be a Trusted Partner to Sales Leadership

• Work closely with the Director of Sales to coordinate priorities and ensure important tasks are completed on time.
• Anticipate needs, take initiative, and help streamline daily operations so the sales team can focus on business development and revenue growth.

What We're Looking For
We're looking for someone who is dependable, proactive, and eager to learn. You don't need to know everything on day one, but you should be comfortable communicating with clients, managing multiple responsibilities, and taking ownership of your work.

• Excellent written and verbal communication skills in English.
• Confidence communicating with clients and prospects by phone and email.
• Strong organizational skills and exceptional attention to detail.
• The ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
• A proactive, solutions-oriented mindset and a genuine willingness to learn.
• Comfort using Microsoft Office, digital tools, and CRM systems.
• A professional, customer-focused approach to building and maintaining relationships.

Experience that will make you stand out:

• Previous experience in hospitality, hotel operations, sales support, sales coordination, or administrative support.
• Familiarity with CRM platforms and hotel management or booking systems.
• Experience creating presentations, flyers, or marketing materials using Canva or similar tools.
• Knowledge of hospitality platforms such as Stayntouch, Cvent, or HotelPlanner.
