A busy medical office is seeking a detail‐oriented, patient‐focused Medical Scheduler and Associate Referral Coordinator to join our clinical support team. This role is essential in ensuring patients receive timely access to specialty care and diagnostic services.

About the Role

The Scheduler / associate Referral Coordinator serves as the primary liaison between patients, providers, and external healthcare partners. You will manage the full referral lifecycle—from initiation to scheduling, documentation, and follow‐up—ensuring a smooth and supportive experience for every patient.

Key Responsibilities

Patient Coordination

• Serve as the main point of contact for patients needing referrals to specialists or additional services.
• Support patients through the referral process to ensure continuity of care.

Referral Management

• Initiate, track, and complete referrals, including policy verification, and appointment scheduling.
• Monitor pending referrals and follow up to ensure timely completion.

Professional Communication

• Communicate effectively with patients, providers, and insurance companies.
• Resolve issues, provide updates, and coordinate care across multiple departments.

Documentation

• Accurately document all referral activities in the EHR.
• Record consultation notes, diagnostic results, and follow‐up details.
• Maintain compliance with HIPAA and all regulatory standards.

Follow‐Up

• Conduct follow‐up calls to confirm appointments
• Address patient concerns and ensure understanding of next steps.

Required Skills & Qualifications

• Knowledge of medical terminology and patient care processes.
• Strong organizational, communication, and interpersonal skills.
• Proficiency with EHR systems and medical office software.
• Strong attention to detail and problem‐solving abilities.
• Medical Assistant, LPN, and/or Phlebotomist a Plus
• BILINGUAL English/Spanish preferred

Work Environment

• Fast‐paced clinical or medical office setting.
• Regular interaction with patients, staff, and external providers.
• Extended periods of computer use, with occasional travel to partner facilities.
• Hybrid or remote work options may be available after initial training.
