Job Summary The Admin Operations Coordinator will coordinate administrative and building operations support services within an assigned unit. Areas of involvement typically include financial records and reports, budget administration, administrative policies and procedures maintenance and building support services. This position will interact on a consistent basis with unit management and staff, vendors/contractors and visitors, and will advise and counsel unit management and staff. Responsibilities Job Duty 1 Provide support in unit and/or project budget administration; maintain budget related records and generate reports. Job Duty 2 Process purchasing related records and transactions; maintain inventory records. Job Duty 3 Coordinate building operations maintenance which typically includes building access control. Job Duty 4 Coordinate delivery, installation and inter-office movement of furniture and equipment. Job Duty 5 Coordinate new employee intake process including initiation of related documentation and data input. Job Duty 6 Maintain unit administrative related policies and procedures. Job Duty 7 This position may hire, train, and supervise student employees. Job Duty 8 Perform other job-related duties as assigned. Required Qualifications High school diploma, GED Certificate or Vocational School Diploma. Six years of job related experience. Preferred Qualifications 2-4 years of experience with Concur, Workday, and OneUSG. Monthly travel to Huntsville is required to maintain alignment and keep operations running smoothly. Will serve as the key link between Atlanta leadership and Huntsville staff. Extensive administrative experience working in a high-volume and deadline-driven office setting. Proficient with Microsoft Office Suite and ability to learn and adapt to new software packages competently. WPM: 40-60. Experience with booking travel arrangements and calendar management. Experience with organizing and scheduling meetings and events. Experience with taking meeting minutes and creating presentations. Excellent time management skills to ensure efficient functioning of schedules and division operation. Ability to establish and maintain effective working relationships to maintain a high level of internal and external customer satisfaction. Excellent written and verbal communication skills to write and proofread reports as needed and to maintain professional communication with customers. The position requires periodic travel to and from Georgia Tech Research Institute and Georgia Institute of Technology locations in Huntsville, Alabama. Knowledge, Skills & Abilities Advanced skills in general office operations are required, including budget administration, procurement processing, records management, building access and maintenance, and staging operations. This position is located in Atlanta, GA. Salary Job Grade A7. Salary range is dependent on candidate experiences and skills, ranging from $23.71–$32.24 (hourly).
