Academic Program Specialist

Locations 12901 Bruce B Downs Blvd, Tampa, FL, 33612, US (Hybrid) Job Description The Office of Undergraduate Studies is the central location for all undergraduate academic functions in the College of Public Health. This office centralizes student recruitment, pre and post admission advisement, monitoring of student progress and probationary status, certification of students for graduation, maintains student records and College academic files, and is responsible for implementation and evaluation of college-wide academic policies related to undergraduates while operating our University wide undergraduate programs. The Office of Undergraduate Studies is led by the Associate Dean for Undergraduate Studies who is part of the Dean's leadership team. Responsibilities Interpret and apply SUS/USF/COPH policies and procedures as related to student academic records. Demonstrate utilization of historical data pertaining to undergraduate programs (e.g., exceptions, policies, procedures, etc.) Demonstrate the ability to process undergraduate programs graduation certification (e.g., course exemption, residency requirements, etc.). This includes student communication, conducting final degree audits, verifying course substitutions, and course transfers. Maintain current knowledge of university policies and procedures and academic programs. Evaluate private/out of state transcripts to determine degree applicability. Facilitate use of university systems, such as Banner, DegreeWorks, Archivum, PowerBi, and other platforms for student records and university initiatives. Critically think through processes and provide insight to Academic Services Administrator on policy and procedure improvements. Demonstrate the ability to analyze progress towards degree completion requirements from the university. Troubleshoot and manipulate student academic records as needed. Work in COPH Undergraduate Affairs shared email box. Collaborate with students, advising team and other university partners for graduation procedures, course evaluations, dean's list, transcript requests, and petition decisions. May serve on campus committees and/or represent the unit at departmental, college or university meetings, outings, and events to support Undergraduate Affairs. Performs other duties as assigned. Qualifications Minimum. This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. Preferred. University experience with registration and graduation. Knowledge of FERPA, MS Office. Transfer Evaluation System (TES); as well as BANNER/OASIS and DegreeWorks student database system. Proficient in Word and the basic functions of Excel.
