Intake Specialist – Personal Injury Law Firm Location: Clearwater, FL Work Arrangement: Full-Time | 100% In-Office Position Overview A growing personal injury law firm in Clearwater, Florida is seeking a professional and dependable Intake Specialist to join its team. This individual will serve as one of the first points of contact for prospective clients, with a primary focus on personal injury and motor vehicle accident cases . The ideal candidate is polished, compassionate, organized, and confident communicating with individuals who may be dealing with stressful or sensitive situations. This is a fully in-office position and requires excellent communication skills, professionalism, and strong attention to detail. Key Responsibilities Serve as the first point of contact for prospective clients by phone, email, and in person. Conduct detailed intake interviews regarding motor vehicle accidents and other personal injury matters. Gather and accurately document accident details, injuries, medical treatment, insurance information, police reports, and other relevant case information. Screen potential cases based on the firm's intake criteria and promptly elevate qualified leads to the appropriate attorney or team member. Maintain consistent and professional communication with prospective clients throughout the intake and onboarding process. Assist with obtaining necessary documents, records, photographs, insurance information, and signed agreements. Enter and maintain accurate client and case information within the firm's case management or CRM system. Follow up with prospective clients in a timely manner and help ensure potential cases do not fall through the cracks. Maintain strict confidentiality when handling client and case information. Qualifications Prior experience in legal intake, personal injury, motor vehicle accident claims, insurance, medical offices, or a similar client-facing environment is strongly preferred. Excellent verbal and written communication skills. Professional and compassionate demeanor with strong customer service skills. Ability to ask detailed questions while remaining sensitive to clients who may have recently experienced an accident or injury. Highly organized with strong attention to detail and follow-through. Comfortable handling a high volume of calls and managing multiple priorities. Proficiency with computers, CRM systems, and/or legal case management software. Reliable and able to work full-time, on-site in Clearwater, FL .
