Plaintiff’s Personal Injury Pre-Litigation Case Manager

Position Overview We are seeking an experienced Pre-Litigation Case Manager to manage plaintiff personal injury cases from the post-intake stage through demand, negotiation, settlement, or transition to litigation. This is a high-ownership position for someone who is exceptionally organized, proactive, and comfortable managing a substantial caseload. The ideal candidate does not wait to be told what needs to happen next. They know their cases, identify problems early, follow up persistently, and take responsibility for keeping cases moving. The Case Manager serves as the primary day-to-day point of contact for assigned clients and works closely with attorneys and other members of the legal team to ensure cases are properly developed, documented, and prepared for resolution. Key Responsibilities Independently manage an assigned caseload of plaintiff personal injury matters throughout the pre-litigation process. Maintain regular, proactive communication with clients regarding treatment, case progress, outstanding needs, and next steps. Build strong client relationships by providing responsive, professional, compassionate, and consistent service. Monitor client medical treatment and identify gaps, delays, or other issues requiring follow-up. Request, obtain, review, and organize medical records, medical bills, accident reports, insurance information, wage-loss documentation, photographs, and other case-related evidence. Communicate professionally and persistently with medical providers, insurance carriers, lienholders, and other third parties. Track insurance coverage, claims information, policy limits, and other case information as directed by the handling attorney. Identify stalled cases, missing information, approaching deadlines, and other barriers to case progression and take appropriate action. Maintain accurate, complete, and current case information in Filevine , including notes, tasks, documents, treatment information, deadlines, and case status. Consistently use Filevine tasks and workflows to manage responsibilities and ensure follow-up occurs when required. Prepare and organize demand packages and supporting materials for attorney review. Track demands, insurance responses, negotiation activity, and follow-up deadlines. Promptly escalatae liability concerns, coverage issues, significant client concerns, settlement questions, or other matters requiring attorney judgment. Assist with preparing cases for transition to litigation when directed by an attorney. Following settlement, assist with confirming liens, balances, reductions, case expenses, and required settlement documentation before final disbursement. Maintain strict confidentiality and professionalism in all client and case-related communications. Participate in case reviews, team meetings, training, and ongoing process-improvement efforts. Perform other case-management responsibilities necessary to provide excellent client service and move cases efficiently toward resolution. Qualifications and Skills Minimum of 2 years of plaintiff’s personal injury case management experience required. Fluent in both English and Spanish required , with the ability to communicate professionally with clients in both languages. Strong working knowledge of the pre-litigation personal injury process. Demonstrated ability to manage a substantial caseload while maintaining excellent organization, responsiveness, and attention to detail. Exceptional organizational, prioritization, and time-management skills. Strong sense of ownership, urgency, and personal accountability. A proactive, self-directed approach to work with the ability to identify what needs to be done and take action without waiting for constant direction. Persistent follow-through with clients, providers, insurance carriers, and other third parties. Excellent written and verbal communication skills. Strong interpersonal skills and the ability to work effectively with clients who may be experiencing difficult or stressful circumstances. Ability to identify problems early, develop practical solutions, and appropriately escalatae matters requiring attorney involvement. Comfortable working in a fast-paced, performance-driven environment while managing multiple competing priorities. Experience using legal case-management software required; Filevine experience strongly preferred. Proficiency with Microsoft Office, Adobe Acrobat, and electronic document-management systems. Positive, dependable, professional, and able to work both independently and collaboratively as part of a team. What Success Looks Like A successful Pre-Litigation Case Manager: Knows the current status and next step for every assigned case. Keeps clients informed rather than waiting for clients to call for updates. Moves cases forward with urgency and does not allow preventable delays to linger. Maintains accurate and current information in Filevine. Stays ahead of tasks, deadlines, treatment follow-up, records, and documentation. Consistently follows through on commitments. Identifies problems early and brings attorneys the information they need to drive legal decisions. Produces organized, well-developed cases that are ready for demand, negotiation, settlement, or litigation. Takes ownership of their caseload and can effectively prioritize a high volume of competing responsibilities. Contributes positively to the team and continuously looks for ways to improve client service and firm performance. Compensation and Benefits $28.00–$36.00 per hour, depending on experience.
