Summary The Trust Department’s mission is to set up and manage trust funds for clients and advise them on investment decisions while managing their assets. The Associate Trust Officer will manage and grow trust client relationships, onboard new clients, and provide ongoing service. This role works closely with Trust Administration and Trust Operations Departments, as well as other business development positions. Job Responsibilities Assist in developing new business among prospects and existing trust clients. Assist in the management of conservatorships, trusts, and agency accounts. Prepare and help manage clients’ investments. Review trust agreements, wills, contracts, and other estate planning documents to limit regulatory and legal risk. Communicate regularly with outside advisors and individual clients, delivering an excellent client experience. Provide customer service to beneficiaries, financial advisors, attorneys, and Certified Public Accountants regarding trust accounts. Explain complex tax and estate planning concepts and trust terms to clients. Respond to client inquiries, maintaining proper correspondence and legal files. Coordinate with the team to carry out account administration and deliver financial reporting and planning materials. Develop and strengthen systems and processes to enhance client experience, achieve account objectives, simplify operations, improve efficiencies, and mitigate risk. Review and approve money movement transactions, tax and accounting treatment, and confirm authorizations from clients and practice specialists. Ensure trust accounts are correctly billed for services rendered, including charges for unique or extraordinary services. Assist with probate duties per state laws. Ensure trust documents are administered correctly. Ensure trust income is collected, distributed, and invested in accordance with agreements. Produce and distribute reports using various software. Assist in making sales presentations for investment management, IRAs, employee benefits, and other opportunities. Participate in various projects and assignments as needed. Provide backup support to other Trust Officers to prevent service disruption. Requirements Associate’s or Bachelor’s Degree preferred; aptitude and willingness to obtain CTFA, CFP, CPA, or JD. 1–2 years of experience in trust administration, servicing, or fiduciary relationship management preferred. Strong organizational skills, ability to prioritize multiple tasks. Excellent listening, written, and verbal communication skills. Strong attention to detail and ability to work under deadlines. Evidence of high confidentiality. Proven customer service skills; ability to resolve problems and prevent client dissatisfaction.
