Role summary Four Seasons Resort Orlando at Walt Disney World Resort is seeking a Catering Coordinator to provide administrative and sales support to Catering Managers and the Director. This role involves assisting in the organization of social and corporate events, acting as a liaison with resort departments, and supporting the Conference Services Team. Key responsibilities include managing leads, preparing proposals and contracts, handling client correspondence, maintaining event details in the Golden Sales & Catering system (Delphi), and coordinating internal events. The ideal candidate will have 2+ years of hotel/resort experience, excellent organizational and multitasking skills, proficiency in MS Office, and strong customer service abilities. TheOpportunity: CateringCoordinator Who We Look For: Responsible for providing administrativeand salessupport to the Catering Managers and Directorwhile being familiar with all aspects of the catering planning process. Assist in the organizing of social and corporate events and act as a liaison with the resort’s Department and Division Heads in planning internal Four Seasons meetings. Provide back up support to the Conference Services Team,in particular inthe absence of the Conference ServicesCoordinator. Essential Functions: Receive, qualify andassignincoming telephoneleadsin accordance with Four Seasons Standards Receive other incoming phone calls andassist with overflow calls for Sales & Marketing, Food & Beverage, and Executive Office. Receive and assign catering leads via the other lead generating sources. In the absence of Catering Management, assist clients and seek out solutions to requests in a friendly, caring and helpful manner. Prepare accurate catering proposals and contracts, using Golden, MS Word and Adobe PDF. Prepare all collateral, giftingandfunction rooms for incoming site inspections. Answer client correspondence as needed by Catering Sales Team to provide sales support. Prepareaccurate written correspondence includingemails,invoices, rooming lists, banquet eventorders, schedule of events, printedmenususingMS Wordor Publisher,Golden, andOutlook. MaintainGoldenaccounts, includingdeposit schedules, creating and updating bookings, manipulating events in the function diary and the preparation of Banquet Event Orders. Facilitateall aspects of internal events. Completedistribution of Catering correspondence to the resort operating departments as required. Reserve, order and reconfirm rental items, as directed by the Catering Sales Team. Collect, process and pay invoices. Maintainthe various Catering file systems, both electronic and paper, including Account Files. Operatea variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines, fax machines, Vocera. Complywith Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and Planning Committee. Respondaccording to the crisis management plan to any resort emergency or safety situation. Complywith Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth inEmPact. Periodicallyassist with front of house operations including greeting and directing guests, staffing hospitality desks, and working with Banquets during crunch times. Performother tasks or projects as assigned by hotel management. Maintainan inventory of all standard department supplies and printed collateral materials, including but not limited to Catering wedding packets, special menu cards, amenity cards. Performall tasks in the absence of the Conference Services Assistant or Delphi Key Operator distribution tasks. Participatein scheduled departmental and administrative meetings as requested. Knowledge and Skills: Education : College educationpreferred ExperiencePre-Requisite : A minimum of 2+years of previous hotel/resortexperience required.Candidates without this experience will not be considered. *F&B, cateringorsales experiencewith administrativeskills stronglypreferred. Skills andAbilities : Excellent reading, writing & oral proficiency in the English language. Exceptionalorganizational skills. Attention to detail. Ability to multitaskwhile staying focused on alldetails. Must be able to type 40 wpm. Required clerical responsibilitiesinclude typing, filing,scanning, photocopying. Able to handle a large volume of telephone calls in an efficient and courteous manner. Proficient in MS Word, Excel, Internet,Outlook, andability to learnGolden Sales & Catering(ie.Delphi).
