Assistant Office Manager - Behavior Health (Evenings/Weekends)

Assistant Office Manager – Behavioral Health Supervisory Responsibilities Oversees the daily work activities of the office alongside the Office Manager May handle and assist with discipline and termination of employees in accordance with company policy. Behavioral Health Office Manager is responsible for overseeing the daily operations of the office. Oversee the hiring and training of office employees, and will also need to host office meetings and conduct performance reviews for all employees. They will oversee the effectiveness of office support staff in screening telephone calls and e-mails, accepting payments, insurance verification, eligibility, and scheduling psychotherapy (office and telehealth) appointments. Must have the ability to multitask and work in a fast-paced environment while maintaining the highest level of professionalism. Duties include communicating with Clinical Director, relaying important information or policy changes from management, and implementing incentives to enhance employee productivity. Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards Overseeing all office support weekly schedules and time‑off requests Counseling any employees struggling in their roles Organizing weekly staff meetings Answering telephone calls and emails from customers and patients and directing them to relevant staff when needed. Interviewing and training new office employees and organizing their employment paperwork Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order Reporting office progress to senior management and working with them to improve office operations and procedures Required Skills Strong written, computer, and communication skills. Excel, Word, OneDrive, Telehealth and VIP Phone technologies. Knowledgeable about HIPPA compliance. Knowledgeable of Behavioral Health basic office practices. Positive attitude and a strong work ethic is a must. Maintain & update patients' confidential Electronic Health Records (EHR). Must be friendly, energetic, and willing to provide a helping hand. Must have desire to take ownership in overseeing the effectiveness of the day‑to‑day operation of excellent customer service for the patients, providers and referring community partners. Ability to integrate marketing skills with basic office practices. Must be at least 21 years old Other Duties as Assigned Other duties as assigned. Minimum Education Qualifications High School Diploma Required, Associate or Bachelor Degree preferred.
