Enrollment Specialist

Creation and maintenance of student data records via PowerSchool and Registration Gateway/IU systems, and process organization for district lottery (ADK/Magnet) and intra-district transfers. This position will also serve as a first point of contact for families enrolling to the district and will, therefore, be in communication with all stakeholders via telephone, email, US mail, and/or in person. Additionally, the individual will be responsible for performing district-wide student enrollments when needed.

Qualifications

• High School diploma or equivalent; an Associate's or Bachelor's Degree is preferred.
• Minimum of three (3) years of customer service experience.
• Skilled level in the creation and use of electronic tools, including organization, spreadsheets, data collection, tables, templates, and word processing (e.g., Microsoft Office).
• Knowledge of Student Information Systems (SIS) such as PowerSchool and Registration Gateway/IU systems.
• Exceptional interpersonal skills and the ability to relate to a wide range of people and problems calmly, tactfully, and in an assured manner.
• Ability to maintain absolute confidentiality regarding educational records, court documents, and sensitive information at all times.

Essential Functions

• Assist parents in completing the enrollment process, changes of address, custody/residency concerns, lottery applications (ADK/Magnet), and intra-district transfer applications.
• Process all-day kindergarten applications, letters, and fees.
• Maintain effective communication with other district departments and buildings regarding pertinent information on lotteries, intra-district transfer of student enrollments, residency, and custody.
• Professionally respond to phone calls and messages in a timely manner, providing enrollment procedure and district information as needed, and redirecting customers to appropriate district personnel.
• Respectfully greet and assist families, community members, and the public, including connecting parents whose primary language is not English with an appropriate language interpreter, parent outreach liaison, or bilingual specialist.
• Register new students according to Board of Education policies and procedures.
• Input and maintain student enrollment data accurately within district systems.
• Validate residency and enforce the Amber Law, maintaining effective communication and relationships with landlords, community members, and outside vendors.
• Maintain and make recommendations for updates to district forms and letters.
• Assist with ordering office equipment and supplies.
• Promote a positive public relations climate through personal appearance, attitude, and conversation.

• May serve as a Notary Public for student registration requirements.
• Attend in-services, workshops, and required meetings.

• Uphold compliance with all Board of Education policies and guidelines.

Other Conditions

• Willingness to work flexible hours during peak enrollment periods and pre-determined application due dates.
• Occasional evening or weekend work during peak application windows or events.
• Frequent hand use (e.g., typing, entering enrollment data, navigating software systems).
• Interaction with the general public and district community utilizing tact, diplomacy, maturity, and composure.

Terms of Employment

Work calendar (12 Months / 260 Days), salary ($22.66 - $29.07 per hour starting range), and benefits established by the Board of Education.

Evaluation

Performance of this job will be evaluated in accordance with the provisions of the Board of Education Policy on Evaluation of Professional Personnel.
