Our Client Service Representatives are the first friendly face our clients see and the reassuring voice they hear when they need guidance for their pets. Whether welcoming a new puppy, supporting a family through an emergency, or celebrating a patient's recovery, our reception team plays an essential role in creating an outstanding client experience. We're looking for a compassionate, organized, and service-focused Veterinary Receptionist / Client Service Representative who enjoys building relationships, thrives in a fast-paced medical environment, and wants to make a meaningful difference in the lives of pets and the people who love them. If you have experience in veterinary medicine, human healthcare, dental, specialty medical practices, or another client-focused healthcare environment, we'd love to meet you.

Deliver an Exceptional Client Experience

• Welcome clients and patients with professionalism, warmth, and compassion
• Schedule appointments and manage daily hospital scheduling
• Answer phones and respond to client questions with empathy and accuracy
• Coordinate patient check-in and check-out
• Support clients through routine visits, illness, surgery, and unexpected emergencies
• Help create a positive, stress-free experience for both pets and their families

Client Communication & Education

You'll become a trusted resource for our clients by helping them understand:

• Preventative care recommendations
• Wellness visits and vaccinations
• Medication refill requests
• Surgery and appointment preparation
• Hospital policies and treatment estimates
• Post-visit instructions and follow-up care

Hospital Operations

• Maintain accurate client and patient medical records
• Process invoices and client payments
• Prepare treatment estimates and explain financial options
• Coordinate communication between doctors, technicians, and clients
• Support efficient patient flow throughout the hospital
• Assist with administrative projects as needed

Team Collaboration

You'll work closely with our veterinarians, veterinary technicians, assistants, and leadership team to help ensure every patient receives exceptional care while maintaining a positive and collaborative work environment.

Who We're Looking For

We're seeking someone who genuinely enjoys helping people while supporting outstanding veterinary medicine. Successful candidates are:

• Comfortable working in a fast-paced medical environment
• Organized and able to manage multiple priorities
• Dependable, adaptable, and detail-oriented

• Calm under pressure and able to support clients during emotional situations

• 12 years of veterinary receptionist or client service experience preferred
• Experience in human healthcare, dental, specialty medical, optometry, or other healthcare reception settings is highly valued
• Experience working with appointment scheduling and electronic medical records
• Previous experience with veterinary practice management software is a plus
• Strong computer skills and proficiency with Microsoft Office
• High school diploma or equivalent required

This position is performed in a busy veterinary hospital where compassionate client service and patient care are the highest priorities. Qualified candidates should be able to:

• Sit, stand, walk, bend, and move throughout the hospital during scheduled shifts
• Occasionally lift and carry up to 30 pounds
• Work comfortably around dogs, cats, and other companion animals
• Communicate effectively with clients, teammates, and veterinary professionals in person and by phone
• Maintain attention to detail while managing multiple priorities in a fast-paced environment

Working conditions may include exposure to:

• Animal dander, fur, saliva, and other allergens
• Cleaning products and disinfectants
• Veterinary medical equipment and common hospital odors
• Noise associated with patient care and hospital operations
