JOB OVERVIEW

Senate Photographic Services (SPS) documents the work and history of the U.S. Senate through official photography, short-form video, and visual media. The Photographic Services Specialist serves as the front line of this operation, acting as a primary point of contact for Senators, Senate staff at all levels—from senior leadership to junior roles—and other stakeholders. This role coordinates and schedules service requests, translates needs into clear assignments, and ensures timely, accurate communication internally and externally. Operating in a high-visibility environment, the Specialist provides responsive, discreet, and professional service while helping SPS maintain high standards for quality and reliability. This role also supports the day-to-day operations of SPS by maintaining workflow visibility, managing records and reporting, and supporting the systems and processes that enable effective service delivery to the Senate. Working closely with SPS leadership and staff, the Specialist helps manage scheduling demands, supports coordination across functions, and contributes to ongoing process improvement. Success requires strong organization, sound judgment, attention to detail, and the ability to manage competing priorities in a fast-paced, mission-critical environment. Duties And Responsibilities Serve as a primary point of contact for Senate offices and other stakeholders by receiving, clarifying, routing, and tracking requests to support efficient workflow and timely service delivery. Maintain scheduling, assignment, and related administrative records; prepare reports and status updates to support operational awareness and decision-making. Take passport photos and process corresponding receipts. Support SPS tools and customer-facing systems by assisting with website updates, user acceptance testing, and providing guidance on service processes, tools, and procedures. Identify and communicate workflow issues, customer needs, and service improvement opportunities to enhance efficiency and customer experience. Perform other duties as assigned. Key Accountabilities/Essential Job Duties Coordinates and schedules Photographic Services staff, resources, and assignments for both scheduled and ad hoc requests. Provides customer service and support to Senate offices and various stakeholders to coordinate and support efficient workflow and delivery of timebound requests. Performs administrative duties such as creating reports, updating website content, and performing user acceptance testing, which inform and support office decisions. Provides support to stakeholders in navigating photographic services tools and systems by gathering and interpreting customer feedback and offering solutions based on established processes. Improves end user experience by escalating issues, when needed. Other duties as assigned.

JOB SPECIFICATIONS

Required Education High School Diploma/ GED. Other Duties/ Responsibilities Supports market research on product development/ enhancement to support the photo studio. Required Work Experience Three (3) to five (5) years of progressively responsible experience in customer service. Excellent communication, presentation, active listening, and facilitation skills. Strong interpersonal skills with the ability to communicate and engage effectively with stakeholders at all levels. Ability to convey information effectively while exercising sound judgement and maintaining discretion when interacting with Senate staff, and the general public, when answering questions or fulfilling service requests. Ability to learn Photographic Services standards and procedures, and ensure they are applied to all scheduling tools and service systems. Desired Qualifications Experience supporting scheduling, service coordination, or workflow tracking in a customer-facing environment. Experience serving as a primary point of contact for customers, clients, or stakeholders with competing priorities and deadlines. Demonstrated success in maintaining records, reports, trackers, or other tools that support operational efficiency. Experience supporting or testing service tools, websites, or systems used for customer or workflow management. Experience working in a fast-paced, high-visibility, deadline-driven environment. Familiarity with photography, creative services, or visual communications support is a plus. Demonstrated ability to succeed in complex organizational environments; familiarity with Senate operations and workflows, or the interest and ability to quickly learn them, strongly preferred. Working Conditions Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during a lapse, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted. This position directly supports essential services of the U.S. Senate. The person in this position needs to move about inside the office to access filing cabinets, office machinery, etc. The person in this position needs to constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position must be able to exchange and communicate accurate information verbally and be able to hear.
